Job Description:
This position provides essential administrative support to faculty, staff, students, preceptors, and clinical sites. This role supports the smooth operation of the program by managing shared communications and email triage, coordinating routine clinical rotation correspondence, maintaining records, student files, and databases, tracking student compliance and onboarding requirements, scheduling, and general office processes. Essential Functions of the
Position:
Serve as the first point of contact and triage hub for students, faculty, preceptors, clinical sites, and external stakeholders, and route nonroutine questions to the appropriate faculty or staff member. Manage schedules, coordinate meetings, and organize events for the program. Maintain accurate records, student files, and databases. Assist with the preparation of accreditation and compliance reports. Manage program communications, including monitoring shared email accounts, responding to routine inquiries, and coordinating timely follow up in a professional manner. Support faculty with administrative tasks, including exam proctoring, course material distribution, and document preparation. Support the clinical team with administrative tasks, expense reports, preceptor payments, tuition credit, and portal management. Also coordinate routine clinical rotation correspondence, including confirmation letters, required forms, schedule notices, and communications to students, preceptors, and clinical sites under the direction of the Program Director and Clinical Coordinator. Assist with budget tracking, purchasing, and expense reports. Coordinate travel arrangements for faculty and staff as needed. Ensure office supplies are stocked and maintained. Track student compliance and onboarding requirements for the clinical year, including immunizations, background checks, and required site or hospital documentation, notifying the Program Director and Clinical Coordinator of missing or overdue items. Perform clinical support duties under the direction of the Program Director and Clinical Coordinator. This includes obtaining approval for clinical sites, student placements, evaluating student performance, and academic progression decisions from the Program Director and Clinical Coordinator.
Requirements:
Required Skills and Abilities:
Excellent written and verbal communication skills, including the ability to manage high volume email and telephone communication professionally. Strong organizational and multitasking abilities. Ability to maintain confidentiality and handle sensitive information.
Required Experience & Education:
Associate or bachelor's degree in business administration, education, healthcare administration or related field preferred. Minimum of two years of administrative experience, preferably in a PA program, health professions program, higher education, or healthcare setting. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience managing shared inboxes, maintaining confidential student records, and tracking time sensitive compliance requirements is preferred.
