Administrative Specialist/Registrar

Job Description

  • Overview
  • Bowhead Information Technologies Service is seeking a mission-focused Administrative Specialist/Registrar to provide critical support to United States Space Command (USSPACECOM) training and simulation efforts.

This position will support SATCOM qualification training through development and review of instructional materials and mission-based simulator support. The Administrative Specialist/Registrar will collaborate with headquarters and squadrons to create and enhance courseware, integrate simulator capabilities, and ensure effective delivery of training aligned with SATCOM operational standards. The role combines administrative depth with instructional design and classroom augmentation.

  • Responsibilities
  • + Process students into and out of the Delta 8 and Schriever SFB, CO to include creating, maintaining, and updating these procedures.

+ Serve as the primary point of contact for all student issues, concerns, and inquires; create and sustain processes and tools that allow for students to view current course schedules, register for courses, drop courses; load courses and register students; support document preparation, database entry, and records maintenance.

+ Establish and manage program files IAW Air Force Records Management Program.

+ Coordinate with security to ensure students have proper clearances; coordinate with Information Assurance to ensure paperwork is done for computer accounts.

+ Train unit personnel to use PEX software, run reports and brief leadership on the status of user training tracked by PEX.

+ Work closely with unit personnel and external PEX managers, as appropriate, daily to establish maintain updated training requirements, ensuring suitable mission parameters to meet operational objectives and safety requirements based on technical military knowledge and experience.

+ Supporting SATCOM qualification training by providing administrative input to classroom instruction and mission-based simulator scenarios.

+ Download and compile student feedback reports in an Excel spreadsheet monthly and submit to leadership for analysis.

+ Use software knowledge and skills to update and maintain Outlook, SharePoint, and Teams schedules weekly.

+ Other duties as assigned.

  • Qualifications
  • + Bachelor's degree and 1-4 years of relevant experience.

+ Experience in a training, education, or administrative support role, preferably in a military or technical setting.

+ Proficiency with Microsoft Office tools (Word, PowerPoint, Excel, Outlook) and experience working in SharePoint or Teams environments.

+ Basic familiarity with instructional materials and training workflows, such as lesson plans, assessments, and attendance tracking.

+ Strong organizational and communication skills to coordinate schedules, send notifications, and maintain documentation.

+ Comfortable learning and using training management systems, such as PEX or other LMS platforms (on-the-job training acceptable).

+ Experience supporting instructors or curriculum developers in either a classroom or simulator-based training environment.

+ Understanding of adult learning principles or instructional design methodologies (even if informal or academic exposure only).

+ Experience compiling student feedback, tracking metrics, or generating training reports.

+ Familiarity with Air Force or DoD forms and processes, such as AF Form 4419s or IQC/Train-the-Trainer programs.

Physical Demands:

+ Must be able to lift up to 25 pounds

+ Must be able to stand and walk for prolonged amounts of time

+ Must be able to twist, bend and squat periodically

SECURITY CLEARANCE REQUIREMENTS

Must currently hold a security clearance at the Top Secret level with SCI eligibility. US Citizenship is a requirement for Top Secret clearance at this location. Targeted salary range is $80,000 to $85,000 annually based on qualifications and experience. Please note that the salary information is a general guideline only.
