Job Description

Admissions & Intake Coordinator Reception / Admissions / Referral Coordination Veltex Recovery Group | Mount Hope, West Virginia Full-Time | Hourly | On-Site $19.00-$22.00 per hour, based on experience Empowering Women. Veltex Recovery Group is seeking an organized, personable and highly responsive Admissions & Intake Coordinator to serve as a central point of contact for prospective clients, families, courts, referral partners and other individuals seeking information about admission to our residential substance use disorder treatment program. This position combines intake and admissions coordination with front-office reception responsibilities . The successful candidate will be much more than a receptionist. This individual will play an essential role in helping prospective clients move efficiently from initial inquiry through the admissions process. The Role The Admissions & Intake Coordinator will manage incoming inquiries, gather necessary intake information, coordinate referral documentation, maintain communication with referral sources and prospective clients, and work with the appropriate clinical, medical and administrative personnel to move qualified referrals toward admission. The Coordinator must be able to manage multiple prospective admissions simultaneously and follow each referral through to resolution . This means knowing what information is outstanding, who needs to provide it, what the next step is, and following up rather than waiting for someone else to move the process forward. The position also serves as a professional first point of contact for the facility and will provide front-desk and general reception coverage. The Coordinator does not independently determine clinical eligibility, medical necessity or level of care . Instead, this individual ensures that the information necessary for those determinations is obtained and efficiently routed to the appropriate professionals. Key Responsibilities Answer incoming calls professionally and respond promptly to treatment and admission inquiries. Serve as a welcoming and knowledgeable first point of contact for prospective clients, families, courts, probation/parole personnel, treatment providers and community referral partners. Gather initial intake and demographic information and accurately document inquiries. Obtain required referral, clinical, medical, legal and insurance information necessary to move an admission forward. Maintain an organized admissions pipeline showing each prospective client's current status, outstanding requirements and next action. Follow up consistently with prospective clients and referral sources regarding missing information and next steps. Coordinate with clinical and medical personnel when professional review or additional information is required. Coordinate insurance verification and authorization-related information with designated personnel. Assist in coordinating admission dates, arrival information and transportation arrangements when applicable. Communicate admission status and important updates to appropriate internal team members. Maintain accurate information in applicable electronic systems and intake records. Protect client confidentiality and follow applicable privacy requirements. Provide professional front-desk reception, including greeting approved visitors and appropriately routing calls and inquiries. Recognize urgent or sensitive matters and promptly escalate them to the appropriate staff member. Assist the Administrator with appropriate administrative projects and facility needs. Maintain organized records and ensure assigned tasks and referrals are followed through to completion. Who We're Looking For This position requires someone who is warm with people but relentless about follow-through . A successful Admissions & Intake Coordinator should be able to speak compassionately with someone seeking treatment while also maintaining the organization and persistence necessary to obtain records, return calls, communicate with referral sources and keep multiple potential admissions moving at the same time.
Candidates should possess:
Bachelor's degree required , preferably in psychology, social work, behavioral health, healthcare administration, human services, business, communications or a related field. Strong written and verbal communication skills. Excellent organization and attention to detail. Ability to multitask and prioritize competing responsibilities. Strong telephone and interpersonal skills. Professional judgment and discretion when handling confidential information. Ability to communicate effectively with clients, families, healthcare professionals and justice-system referral partners. Comfort working in a fast-moving behavioral-health environment. Strong computer and electronic-record skills. A demonstrated ability to follow assignments through to completion rather than simply passing information along. Experience in behavioral health, substance use disorder treatment, healthcare admissions, intake coordination, case management, medical offices, insurance verification or residential treatment is strongly preferred. What Success Looks Like Success in this position means that every viable inquiry receives attention and follow-through . Prospective clients and referral partners should know what happens next. Missing information should be actively pursued. Appropriate internal personnel should receive what they need to make timely decisions. Scheduled admissions should be organized and communicated. No viable referral should be lost simply because a call was not returned, paperwork was not pursued, or nobody followed up. Compensation $19.00-$22.00 per hour, based on relevant experience and qualifications.
