JOB SUMMARY
The Item Processing Specialist is responsible for processing, repairing, and balancing items submitted through the Bank's remote capture and correspondent bank channels. This position supports the processing of electronically imaged items, verifies the accuracy and qualify of transaction information, and ensures items are properly balanced, transmitted, and posted through end-of-day processing. The Item Processing Specialist also provides support for interoffice courier distribution and related departmental functions.
ESSENTIAL JOB DUTIES
Support the accurate scanning and processing of items received from Bank locations and other capture channels. Verify and repair Magnetic Ink Character Recognition (MICR) and other document information to ensure accurate balancing and posting of scanned items. Review rejected items and enter or correct document information required by the capture software. Ensure the proper importing and exporting of imaged cash letters. Review deposits received through remote capture channels for valid endorsements, acceptable image quality, and other required information. Identify and appropriately address proof and processing exceptions to improve the accuracy and quality of items submitted for posting. Ensure batch and run-block totals are balanced prior to completion of end-of-day processing. Prepare required reports and ensure the timely transmission of processing data to the mainframe prior to the nightly system update. Review and prepare deposit correction notices and other applicable correspondence for customers. Prepare foreign items for clearing in accordance with established procedures. Properly label, organize, and retain processing documentation in accordance with the Bank's record retention requirements. Follow established shredding schedules and procedures for item processing documents containing confidential information. Maintain an adequate inventory of supplies used for check processing and scanning equipment and order additional supplies as necessary. Sort, log, and coordinate interoffice mail, supplies, bags, boxes, and other physical materials for courier distribution between Bank locations. Assist with researching and resolving item processing discrepancies and other departmental requests. File maintenance review, including, but not limited to, Debit card applications, address changes, and ATM deposit review. Balance and place addenda for end of the year tax reporting for saving bond redemption. Follow established Bank procedures and internal controls related to item processing, information security and customer confidentiality. Perform other duties, functions, and projects as assigned or requested by management.
QUALIFICATIONS
High school diploma or equivalent required. Previous banking, item processing, data processing, bookkeeping, operations, or related clerical experience preferred. Previous experience with check processing, remote deposit capture, document imaging, or financial transaction processing preferred. An equivalent combination of education, training, and relevant work experience will be considered.
KNOWLEDGE, SKILLS, AND ABILITIES
Strong attention to detail and accuracy. Ability to perform basic mathematical calculations and balance transaction totals. Strong organizational and time-management skills. Ability to identify discrepancies and resolve routine processing errors. Ability to follow established procedures and meet required processing deadlines. Basic computer skills and ability to learn Bank-specific processing, imaging, and capture systems. Effective verbal and written communication skills. Ability to work independently and effectively as part of a team. Ability to manage multiple tasks and priorities in a deadline-driven environment. Ability to maintain confidentiality of customer and Bank information.
WORKING ENVIRONMENT AND PHYSICAL DEMANDS
Work is primarily performed in a professional office and operations environment. Regularly utilizes computers, scanners, printers, check-processing equipment, telephones, and other standard office equipment. Requires prolonged periods of sitting and computer use, as well as regular standing, walking, reaching, bending, and handling of documents and supplies. Requires frequent handling and movement of mail, courier bags, document boxes, and processing materials. Must be able to occasionally lift and carry boxes, supplies, or other materials weighing up to 40 pounds. Position requires a high degree of accuracy and the ability to complete time-sensitive processing activities within established daily deadlines. Regular and reliable attendance is required. Work outside normal business hours may occasionally be necessary to complete end-of-day, system, or other time-sensitive processing.
