The Banquet Setup position prepares Mountain Lake event spaces so every wedding, meeting, reception, festival, group function, catered event, and in-house function begins on time, accurately, safely, and presentation-ready. This role converts BEO requirements and room diagrams into completed event spaces and supports changeovers, breakdown, storage, and equipment care.
ESSENTIAL FUNCTIONS & RESPONSIBILITIES
Review BEOs, room diagrams, event resumes, setup timelines, guest counts, and manager instructions before beginning each assignment.
Set meeting and banquet rooms according to approved diagrams and specifications, including tables, chairs, staging, dance floors, risers, linens, registration tables, buffets, bars, displays, trash receptacles, and other event equipment.
Measure and align room setups carefully; ensure aisles, exits, fire lanes, accessibility routes, and service paths remain clear and safe.
Verify that tables, chairs, linens, equipment, floors, walls, fixtures, and visible event areas are clean, undamaged, and presentation-ready before turnover to the service or event team.
Set water stations, meeting pads, pens, easels, flip charts, extension cords, power strips, basic audiovisual support items, and other BEO-listed materials as assigned.
Coordinate with Banquets, Events, Food & Beverage, Culinary, Facilities, Housekeeping, Sales/Catering, and other departments when setup requirements cross operational areas.
Complete room flips and event changeovers within required timeframes, maintaining accuracy even when turnaround time is limited.
Move, store, inventory, and protect banquet furniture and equipment using proper lifting, stacking, cart, and storage procedures.
Report damaged, missing, unsafe, or insufficient equipment immediately rather than substituting or changing a setup without authorization.
Support outdoor event setup and breakdown, including tables, chairs, tents or tent-related furnishings, signage, portable service equipment, and other approved items as directed.
Break down event spaces promptly after functions; return equipment to designated storage locations and leave rooms clean, organized, and ready for the next use.
Assist with banquet service support, trash removal, linen movement, loading/unloading, and other event needs when directed.
GUEST EXPERIENCE & SERVICE STANDARDS
Practice the Mountain Lake 10-and-5 standard: at approximately 10 feet, make eye contact and smile; at approximately 5 feet, offer a warm verbal greeting.
Anticipate guest needs, remain visible and approachable, and respond with genuine warmth, urgency, and ownership.
Protect the guest experience by keeping function spaces clean, organized, safe, and presentation-ready throughout the event.
When a guest concern arises, listen carefully, take appropriate action within your authority, and immediately involve banquet leadership when additional assistance is needed.
Treat every wedding, meeting, festival, group meal, contracted event, and in-house function as an important Mountain Lake experience.
ONE-TEAM OPERATIONAL SUPPORT
Work as one banquet team; assist outside your primary assignment when guest needs or event flow require it.
Review the applicable Banquet Event Order (BEO), event resume, function timeline, and manager instructions before service.
Communicate changes, shortages, delays, guest requests, safety concerns, and service issues promptly to banquet leadership.
Maintain professional communication and a positive, solutions-focused attitude during high-volume and time-sensitive functions.
Assist with pre-function preparation, service, clearing, resetting, breakdown, and cleaning as directed.
Ability to work effectively in a fast-paced, team-oriented environment while maintaining attention to detail.
Strong communication skills and a genuine commitment to guest service.
Reliable attendance and punctuality are essential because banquet staffing is built around contracted event requirements.
Must comply with Mountain Lake policies, grooming standards, safety requirements, and all applicable food-safety procedures.
Demonstrates urgency, teamwork, adaptability, attention to detail, professionalism, and respect for guests and fellow associates.
SCHEDULE & ATTENDANCE
This is an hourly, non-exempt, event-driven position. Work schedules vary according to Banquet Event Orders, group activity, weddings, festivals, meetings, resort occupancy, and business needs. Early mornings, evenings, late nights, weekends, and holidays are required as scheduled.
PHYSICAL DEMANDS & WORK ENVIRONMENT
This is a physically demanding position requiring prolonged standing and walking; frequent bending, kneeling, reaching, pushing, pulling, lifting, carrying, stacking, and moving furniture/equipment. Must be able to lift approximately 50 pounds and work cooperatively on heavier items. Work may occur indoors and outdoors, on stairs and uneven terrain, and in changing weather conditions.
