Position Overview Prime Real Estate is seeking an exceptional Executive Assistant & Short-Term Rental Manager to work directly with the company's owner. This is a unique, fast-paced position for someone who is highly organized, personable, resourceful, and energized by work that is different every day. The right person will serve as a trusted extension of the owner—helping manage communications, priorities, client relationships, marketing, administrative responsibilities, agent communications, and several short-term rental properties. This role requires excellent judgment, discretion, loyalty, confidentiality, initiative, and the ability to make others feel heard and appreciated, even in difficult or time-sensitive situations. This is not a traditional desk job. A typical day may begin in the office handling email, phone messages, CRM follow-up, and assigned projects. The assistant may then accompany the owner to appointments, take notes, manage calls and emails while meetings are underway, and follow up on action items. The remainder of the day may be completed at the office, in the field, or remotely, depending on business needs. The position is ideal for someone who enjoys variety, takes ownership of responsibilities, solves problems independently, and can confidently manage several important priorities at once. Primary Responsibilities Executive and Administrative Support Monitor, organize, and respond to emails and other communications Return telephone calls and route inquiries appropriately Manage daily priorities, reminders, follow-up items, and assigned projects Accompany the owner to appointments and meetings as needed Take accurate notes and turn conversations into clear action items Handle calls, emails, and emerging issues while the owner is in meetings Assist with occasional personal errands, scheduling, and administrative matters Maintain confidentiality regarding company, client, employee, and personal information Communicate professionally with clients, agents, vendors, community members, and the public Real Estate and Brokerage Support Maintain accurate client and prospect information in the company CRM Complete follow-up activities with clients, leads, and team members Help organize transaction documents and confirm that required items are completed Coordinate with agents, clients, vendors, photographers, contractors, and other service providers Update website copy, property information, listing information, agent information, and company content Assist with client events, company activities, open houses, and community events Track projects and deadlines and proactively alert the owner to items requiring attention Marketing and Communications Create and publish professional social media content related to new listings, recent sales, company news, community involvement, and real estate Draft clear, polished emails, announcements, website copy, and marketing materials Help create flyers, brochures, invitations, presentations, and other promotional pieces Maintain a consistent, professional company voice across communication channels Identify opportunities to improve engagement with clients and the community Short-Term Rental Management Respond promptly and courteously to inquiries from prospective and current guests Coordinate reservations, arrivals, departures, and guest communications Monitor cleaning schedules and confirm that properties have been properly prepared Visit properties when needed to inspect conditions or resolve guest concerns Coordinate with housekeepers, maintenance providers, and other vendors Address after-hours questions or problems calmly and professionally Track supplies, repairs, maintenance needs, and recurring property responsibilities Help create an excellent guest experience while protecting the condition and reputation of each property Qualifications Required Previous experience in an administrative, executive support, office management, property management, hospitality, or similar role Outstanding written and verbal communication skills Strong organizational skills and careful attention to detail Ability to prioritize and manage several important assignments simultaneously Professional, positive, approachable, and composed demeanor Sound judgment and the ability to handle difficult people and challenging situations with grace Self-motivated, dependable, and willing to take initiative Strong problem-solving skills and the ability to work independently Ability to maintain strict confidentiality and exercise discretion Comfortable using email, social media, online platforms, document-management systems, and CRM software Valid driver's license, reliable transportation, and ability to travel locally Ability to maintain reasonable evening and weekend availability for short-term rental needs Preferred Real estate, property management, hospitality, marketing, or event-planning experience Experience creating social media posts and basic marketing materials Familiarity with real estate transactions or CRM platforms Indiana real estate license An active real estate license is helpful but is not required. For the right long-term employee, assistance in obtaining an Indiana real estate license may be offered after the first several months of employment. Schedule and Work Environment The anticipated weekday schedule is approximately six to seven hours per day, Monday through Friday, generally between 9:00 a.m. and 5:00 p.m. The position includes a combination of office work, local travel with the owner, field assignments, and some remote work. Additional evening or weekend availability, anticipated to be no more than six to eight hours a week, will occasionally be required for short-term rental communications, property concerns, company and private events, and other time-sensitive responsibilities to meet the needs of the company owner.
