Description Serene Oral Surgery is a leading-edge, technology-based oral surgery center committed to providing an exceptional patient experience from the first interaction through completion of care. The Patient Concierge serves as a primary point of contact for our patients and referring offices and plays an essential role in creating a compassionate, professional, efficient, and impressive patient experience. A key responsibility of the Patient Concierge Team is ownership of the patient schedule. This includes appropriately scheduling patients, actively managing and maintaining the schedule, promptly working referrals, communicating with referring offices and patients, and identifying opportunities to keep the schedule productive while ensuring patients receive timely access to care. Duties and Responsibilities Scheduling & Schedule Ownership Take ownership of the patient schedule, understanding that maintaining an appropriate, accurate, and productive schedule is a primary responsibility of the Patient Concierge Team. Schedule patients appropriately based on procedure type, provider availability, clinical needs, urgency, appointment length, and established scheduling protocols. Maintain and actively manage the schedule throughout the day, identifying cancellations, openings, scheduling conflicts, or other opportunities requiring attention. Work collaboratively with the clinical team and leadership regarding scheduling needs, patient flow, schedule changes, and opportunities to maximize efficiency. Respond promptly to cancellations and schedule changes and actively work to fill appropriate openings when possible. Review upcoming schedules for accuracy and completeness and proactively address concerns rather than waiting until the day of the appointment. Communicate schedule changes and relevant patient information to appropriate team members. Understand that successful scheduling requires follow-through and proactive management, not simply placing an appointment on the schedule. Referral Management & Follow-Through Actively work all referrals received by the practice to assist patients in obtaining timely appointments. Contact referred patients promptly and make appropriate follow-up attempts when the patient is not initially reached. Maintain accurate documentation of all referral contact attempts, communication, scheduling status, and follow-up needs. Continue appropriate follow-up on unscheduled referrals rather than considering the referral complete after an initial contact attempt. Communicate with referring offices when additional information is needed or when assistance is necessary to facilitate patient scheduling. Develop and maintain positive, professional relationships with referring dental and medical offices. Help ensure referring offices experience a streamlined referral process and have confidence that patients referred to Serene Oral Surgery are being contacted and appropriately managed. Escalate referral or scheduling concerns to leadership when barriers cannot be resolved independently. Patient Experience & Front Office Responsibilities Greet and check in patients upon arrival and ensure appropriate payment collection. Ensure each patient's medical record is accurate and that required information for their care has been obtained. Answer the multi-line phone system promptly and professionally. Communicate directly with patients to answer questions, address concerns, and assist with scheduling and care coordination. Assist patients with the patient portal and online communication systems. Present patients with treatment plan letters as required. Provide an exceptional patient experience through professional, compassionate, and attentive communication. Communication & Administrative Support Check practice email and distribute or respond as appropriate. Open and distribute mail. Collaborate with clinical staff regarding schedules, patients, and changes affecting patient care or workflow. Collaborate with referring offices to ensure a streamlined care process for patients. Run daily and monthly reports as required and take appropriate action on assigned reports rather than simply generating them. Provide support to the business office and clinical team as needed. Maintain front office and common areas in a clean, organized, and professional manner. Complete assigned responsibilities accurately and within established timeframes. Demonstrate consistent follow-up and follow-through on assigned tasks, patient needs, referrals, and scheduling responsibilities. Performance Expectations Successful performance in the Patient Concierge role requires more than completing individual tasks. Team members are expected to demonstrate ownership, initiative, accountability, and follow-through. The Patient Concierge is expected to: Proactively identify what needs attention and take appropriate action. Take ownership of assigned responsibilities through completion. Maintain awareness of the schedule and actively contribute to keeping it accurate, efficient, and appropriately filled. Follow referrals and patient scheduling needs through to resolution or appropriate escalation. Document work accurately so that another team member can clearly understand what actions have been taken and what remains outstanding. Communicate professionally and respectfully with patients, referring offices, providers, and fellow team members. Prioritize patient care and practice needs appropriately throughout the workday. Seek clarification when unsure rather than allowing an issue or task to remain unresolved. Maintain productivity and professional focus during working hours. Recognize that each interaction with a patient or referring office represents the reputation and service standards of Serene Oral Surgery. Qualifications High school diploma or equivalent; associate or bachelor's degree preferred. Minimum 2-3 years of customer service experience; dental or medical office experience preferred. Knowledge of dental terminology preferred. Professional presence and demeanor. Professional phone etiquette. Strong written and verbal communication skills. Excellent customer service and interpersonal skills. Keen attention to detail with a high degree of accuracy. Ability to perform multiple tasks simultaneously while maintaining accuracy. Strong organizational and prioritization skills. Self-starter with demonstrated initiative. Excellent follow-up and follow-through. Ability to identify problems and work toward solutions independently. Ability to work collaboratively as part of a patient-centered team. Ability to accept feedback and adapt to changing practice needs.
