Pool Construction Position Type:
Full-Time Exquisite Pool & Spa is seeking a highly organized, dependable, and detail-oriented Office Manager to oversee the day-to-day administrative operations of our pool construction company. The ideal candidate is an excellent communicator who can manage multiple priorities, stay organized in a fast-paced construction environment, and provide outstanding customer service. Experience in pool construction, residential construction, remodeling, or a similar industry is preferred. Key Responsibilities Office & Administrative Management Manage daily office operations and administrative tasks Answer and direct phone calls, emails, and customer inquiries Maintain organized customer, project, vendor, and company records Develop and maintain efficient office procedures and systems Customer Service Respond promptly and professionally to customer questions, concerns, and requests Provide customers with project updates and help coordinate communication between customers and the construction team Follow up with customers regarding outstanding information, approvals, selections, payments, and project milestones Construction & Project Coordination Maintain accurate project schedules and update them as projects progress Track project documentation, contracts, change orders, permits, selections, invoices, and other paperwork Assist with coordinating inspections and permitting requirements Help ensure projects move efficiently from contract through completion Maintain organized digital and physical project files Compliance & Documentation Maintain required company licenses, insurance certificates, W-9s, vendor documents, and other records Maintain employee and subcontractor files as needed Ensure important documents are properly filed and readily accessible Qualifications 3+ years of office management, administrative, construction administration, or related experience required Experience in residential construction, pool construction, remodeling, landscaping, or a related industry is a plus Strong organizational and time-management skills Excellent written and verbal communication skills Strong customer-service skills and a professional demeanor Ability to multitask and prioritize in a fast-paced environment Strong attention to detail and accuracy Comfortable communicating with homeowners, employees, subcontractors, vendors, and management Experience with construction management, CRM, scheduling, or accounting software is a plus Ability to maintain confidentiality and handle sensitive business information Ability to work independently while also being an effective team member Ideal Candidate The ideal candidate is should be comfortable juggling multiple projects and deadlines while maintaining a high level of organization and professionalism. They will thrive in a fast-paced environment, demonstrate exceptional communication skills, and possess a passion for maintaining an organized, professional office atmosphere.
Pay:
$20.00 - $26.00 per hour Expected hours: 40.0 per week
