Job Description

Overview The Entry-Level Assistant Golf Professional/Outside Operations Supervisor plays a vital role in the golf operation, working closely with the Head Golf Professional, two Assistant Professionals, and other team members. This position offers the chance to learn, contribute, and make a meaningful impact on the club's operations. Key responsibilities include helping manage all outdoor operations to ensure a seamless experience for golfers. This involves supervising staff, coordinating daily play, and maintaining exceptional service standards and facility upkeep. The core aspects of this role are training and managing staff, delivering outstanding customer service, and overseeing course and event operations. The Outside Operations Supervisor oversees and manages play flow throughout the day to provide an enjoyable experience for all members and guests. Experience Required Qualifications High school diploma or equivalent required. Previous experience in golf operations, private club operations, hospitality, or a related customer-service environment preferred. Tournament and golf event operations experience strongly preferred. Strong interpersonal, communication, organizational, and time-management skills. Demonstrated ability to lead, train, motivate, and hold staff accountable. Strong commitment to delivering exceptional member and guest service. Ability to anticipate member needs and develop positive relationships with members and guests. Ability to manage multiple priorities and remain professional in a fast-paced environment. Basic computer and technology skills, including familiarity with golf operations and tee sheet software, preferred. Valid driver's license required. Ability to work a flexible schedule, including early mornings, evenings, weekends, holidays, tournaments, and special events. Knowledge of golf, golf etiquette, and private club operations preferred. Essential Responsibilities Essential Duties & Responsibilities 1. Staff Supervision and Training Recruit, train, schedule, supervise, and develop outside operations staff, including starters, bag attendants, cart staff, and other assigned personnel. Ensure all team members understand and consistently deliver Charter Oak's standards for exceptional member and guest service. Provide ongoing coaching, feedback, and performance evaluations. Maintain proper staffing levels based on daily golf activity, tournaments, outings, and special events. 2. Daily Golf Operations Oversee all outside golf operations, including bag drop, cart staging, driving range operations, bag storage, and on-course support. Coordinate closely with the Golf Shop to ensure an efficient flow of play and proper execution of the daily tee sheet. Monitor pace of play and assist starters and rangers in maintaining an enjoyable experience for all players. Maintain a visible and active presence throughout the operation to anticipate and address member and guest needs. 3. Member and Guest Service Ensure every member and guest receives a warm welcome, professional assistance, and personalized attention. Build strong relationships with members and, when possible, become familiar with their preferences, habits, and service expectations. Anticipate member and guest needs and proactively deliver a personalized private-club experience. Address questions, concerns, and service issues promptly and professionally. Foster a culture of hospitality, teamwork, accountability, and service excellence among the outside operations staff. 4. Tournament and Event Operations Coordinate with the Head Golf Professional, Assistant Professionals, and other departments to execute tournaments, outings, and special events. Assist with cart staging, bag handling, player registration support, signage, contest setup, starting procedures, and other event logistics. Ensure all outside operation areas are properly prepared before events and efficiently restored afterward. Communicate event requirements and assignments clearly to the outside operations team. 5. Facility, Cart Fleet, and Equipment Management Maintain the cleanliness, organization, appearance, and safety of the cart barn, bag storage areas, bag drop, driving range, and other outside golf facilities. Ensure the golf cart fleet is clean, charged, staged, and ready for daily member and guest use. Monitor carts and outside operations equipment for damage or maintenance needs and coordinate repairs as necessary. Maintain appropriate inventory of supplies needed for daily outside operations. 6. Communication and Operational Support Maintain regular communication with the Head Golf Professional and Assistant Professionals regarding staffing, member concerns, operational issues, and upcoming events. Support the professional staff with special projects and other operational needs. Perform additional duties as necessary to enhance the overall member and guest experience. Expectations Maintain a professional appearance and demeanor at all times. Demonstrate strong leadership, communication, organizational, and problem-solving skills. Hold staff accountable while fostering a positive, professional work environment. Build meaningful relationships with members and understand their individual preferences and expectations. Proactively identify operational challenges and recommend solutions. Demonstrate attention to detail and a strong sense of urgency. Be dependable, flexible, and available to work weekends, holidays, tournaments, and other peak periods as required.
