The coordinator will be heavily involved in event logistics including, but not limited to managing RSVPs, liaising between the publicity team and keeping all event details organized for the larger Communications team and company as a whole. Events include publicity events, including Countdown to Christmas events, one off screenings and tentpole premieres, awards events and seasonal stunt activations as well as Brand Experiences like the Hallmark Christmas Cruise, Hallmark Christmas Experience, among others. The coordinator is also responsible for talent relations efforts. They will manage the department's systems and documents which include but are not limited to talent contact sheets, talent gifting, talent requests from internal and external stakeholders, and more. The coordinator will also assist with standard administrative tasks for the department. The hourly range for this job is between $21.01-$27.99 Hourly rate will take into consideration several factors including location.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The Coordinator, Talent Relations & Events is responsible for assisting the company in all its publicity events and talent relations efforts. The coordinator will be required to understand priorities and effectively coordinate work activities with teammates throughout the Publicity & Events team and cross-functionally throughout the company. Core duties include managing administrative systems and procedures, such as maintaining department documents, processing invoices, ensuring trackers and calendars are updated in a timely manner, and providing a range of support functions for department staff. Assists in curating invite lists, following up and tracking responses, and sending confirmation details. Help with coordination of logistics for event including Countdown to Christmas events, Hallmark+ specific events, Hallmark Stars Live, Hallmark Christmas Cruise, Hallmark Christmas Experience, screenings/premieres, awards events and seasonal stunt activations, among others. Support talent relations & events efforts, including creating talent onboarding decks and event materials, drafting messaging for key talent and event-related communications, and more. Support the planning and execution of events including logistics and production, researching vendors, reviewing proposals, and more. Collaborate with talent relations and events team to develop project plans, including relevant timelines and budgets. Keep all flights, car service, hotel rooming lists, itineraries and other key information organized and up to date. Attend and represent the company at assigned meetings and on conference calls. Assist with securing purchase orders and submitting departmental invoices on an as needed basis.
QUALIFICATIONS
2-3 years of Events, Public Relations, Production or related experience Bachelor's degree is preferred with emphasis in Communication, Marketing, Public Relations, English or related field highly desired Outgoing self-starter with strong writing, communication, and organizational skills Proficiency in Microsoft Programs- Word, Excel, PowerPoint, Outlook. Additional proficiencies include Canva, PhotoShop, DaVinci, and Smartsheet Prior experience and knowledge working with social media platforms Must be reliable and possess an eagerness to provide business results Must possess the ability to maintain a high level of professionalism, integrity and confidentiality Must be thorough and a self-starter with strong organizational skills Must have the ability to work independently and as part of a team Must be flexible and possess the ability to multi-task and switch gears as required Must be available for periodic travel Equal Opportunity Employer This employer is required to notify all applicants of their rights pursuant to federal employment laws.
