Job Description
Event Planner Reports To :
President & CEO Charged with successfully developing, managing, and marketing high-quality business-to-business and business-to-community programs that will assist current and prospective member organizations expand their business opportunities, in the Tri-Lakes area and beyond. Key responsibilities :
Directly responsible for the development and execution of the following programs, at a minimum, at levels established in the annual budget and business plan: State of the Tri-Lakes Region Luncheon (Annually) Annual Awards Dinner (Annually) 4th of July Street Fair and Beer Garden (Annually) Monument Pours in the Park Beverage Festival (Annually) Business After Hours (Monthly) Education Series (Monthly) Chamber Networking Breakfasts (Bi-Monthly) Membership Luncheons (Quarterly) And other miscellaneous non-regular events like ribbon cuttings, etc.
Contribute to planning annual budgets and specific action timelines for each program/event. Work within the budgetary guidelines of each and price them so they produce net contributions unless instructed otherwise.
Execute the planning and logistics of on and off-site meetings and events.
Assess event objectives and determine most cost-effective means to deliver results.
Maintain event schedules at least one year in advance.
Assist in identifying and securing corporate sponsors (cash & in-kind) to support each program and budgeted levels.
Manage client, sponsor and organization's expectations with clear communication.
Work with all departments within the organization to market meetings and events to increase participation and company awareness using various vehicles.
Secure, lead and motivate volunteer committees for our large annual events.
Act as a team player for events to assure procedures are properly followed; provides necessary and appropriate communication to the Chamber Staff and volunteers to ensure successful events and to create a positive experience for attendees.
Responsible for assuring all activities are on a scheduled timeline, procedures of the Chamber are properly followed, and events are promoted while keeping the Chamber staff aware of their status.
Uses technology to create website listings, event postings, maintain calendars and schedules to prepare correspondence and other documents. In addition, is very familiar with AI and works with it regularly.
Takes committee meeting and event registrations and maintains detailed registration lists for all events/programs.
Runs and manages all event committee meetings.
Delivers the best service, quality and value to every customer, every time.
Requires some travel within the Northern El Paso County region.
Provide administrative support when needed.
Qualifications:
Practical experience in event management
Driven, self-motivated, positive, creative
Must be a detail orientated perfectionist by nature.
Must have excellent work habits, including a willingness to work to get the job done.
Must have strong planning and leadership skills to step into a lead role in meetings or events.
Ability to handle multiple tasks simultaneously and respond to organization needs in prompt and timely fashion.
Business like, mature, comfortable speaking with leaders of companies, leaders of the local towns & region.
Able to get along with others and be a team player.
Instructs clearly and asks for feedback when appropriate.
Commands respect among leaders through good working relations.
Ability to work without close supervision.
Strong negotiation skills.
Strong people skills when dealing with volunteers, Chamber members, community members and co-workers.
Must work well under pressure and meet deadlines.
High level of creativity and very strong problem-solving skills.
Must hold a valid Colorado Driver's License and have the use of vehicle for transportation of self and items to events at all times.
Technical:
Marketing skills to create promotional materials and to promote event participation.
Proficient knowledge of computer systems including MS Office Suite of products
Ability to learn Chamber specific software and Constant Contact email system.
Ability to use social media for the benefit and promotion of events and members: LinkedIn, Facebook, Twitter, Instagram, and YouTube are vital.
Physical Requirements:
Requires sufficient physical capacity to service indoor and outdoor events, sometimes in inclement weather, on uneven park grounds with activities including the need to lift 50 pounds regularly.
Ability to be on your feet for many hours at a time.
Ability to drive in snow and inclement weather (within reason).
Education & Experience:
Previous event planning, marketing & public relations experience.
Possesses strong knowledge of our community along with having connections to area Business & Community Leaders is a plus.
A 4-year degree or equivalent work experience a plus.
Non-profit membership organization a plus.
Flexible schedule, able to attend evening and early morning events as well as a few weekend events including the 4th of July holiday. Full Time Position (40 hours plus extra on event days):
Some hours will be outside of regular office hours include 2 breakfasts/mth, 1 Business After Hours/mth, a couple of Saturday annual events, various ribbon cuttings and the 4th of July.
