Job Description

The Event Assistant at The Bishop Museum of Science and Nature supports the Director of Sales and Special Events in the planning, coordination, and execution of community, philanthropic, corporate, and private events hosted at The Bishop. This role assists with event preparation, logistical coordination, administrative support, and on-site event execution to ensure events are delivered professionally and efficiently. The Event Assistant works closely with the catering teams, facilities staff, vendors, and internal departments to support event logistics, maintain organized event documentation, and help provide an exceptional experience for clients and guests. This position requires strong organizational skills, attention to detail, and the ability to work in a fast-paced, team-oriented environment. Essential Duties and Responsibilities Responsibilities include, but are not limited to, the following: Assist in the successful planning and execution of community, philanthropic, corporate, and private events hosted at The Bishop. Provide administrative and logistical support for The Bishop throughout the client lifecycle, including initial booking, venue rental agreement coordination, event planning support, and day-of-event execution. Assist with composing and compiling detailed event notes, timelines, and run-of-show documents. Help maintain and update the event calendar and internal scheduling systems. Assist with coordinating event setup and breakdown logistics with internal teams and external vendors. Serve as on-site event support, acting as a liaison between staff, guests, vendors, and partners during events. Support the preparation and distribution of event-related documentation and materials. Assist with tracking event-related invoices and expenses, while maintaining organizing financial documentation. Support guest services during events by helping address guest needs and questions in a professional and courteous manner. Provide general operational support before, during, and after events to ensure smooth execution. Qualifications HS diploma or GED required. Associate's or Bachelor's degree in Event Management, Hospitality, Communications, Marketing, or a related field preferred. 1-2 years of experience in event coordination, hospitality, venue operations, or administrative support preferred. Strong organizational and time-management skills with the ability to manage multiple tasks simultaneously. Excellent interpersonal and customer service skills. Strong written and verbal communication skills. Ability to work effectively both independently and collaboratively within a team environment. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with event management software is a plus. Ability to remain calm and professional in a fast-paced event environment. Work Schedule This position requires flexibility to work evenings, weekends, and holidays as dictated by event schedules. Physical Requirements Ability to stand and walk for extended periods during events. Ability to lift and move items up to 25 pounds as needed for event setup and breakdown. Ability to assist with event setup tasks including moving small furniture, signage, and event materials. Ability to work both indoors and outdoors depending on event needs. Pay:
$18.00 - $24.00 per hour
