The Special Events and Outreach Coordinator will work with the Resource and Development team in the planning, executing, and promoting all of House of Hope's fundraising events and awareness campaigns. This role works closely with the resource development team to create unique event concepts and outreach strategies that engage donors, sponsors, volunteers, and the local community.
DUTIES AND RESPONSIBILITIES
Special Events:
Work with the Resource Development Team to plan, organize, coordinate, and execute annual fundraising events including but not limited to: Serve Some Hope Tennis Tournament, Top Chef, and Annual Soiree'.
Work with the resource develop team to execute events and increase fundraising dollars.
Track and maintain event guest lists, sponsors, income, expenses, and other related reports in Donor Perfect database and other formats as needed.
Generate all correspondence to sponsors, vendors, participants, and donors, including but not limited to proposals, invitations, and thank you letters.
Work with the Resource Development team to develop concepts and designs for events, and coordinate mailings of promotional materials and invitations; and assist with logistical planning.
Assist with securing sponsorships, in-kind donations, and auction items for events.
Attend and coordinate vendors and activities at events to ensure excellence.
Assist with determining staffing needs for special events. Work with the Enrichment and Engagement department to secure volunteer support as needed.
Work with and give guidance to volunteers and staff involved in event planning and execution.
Assist with researching, and negotiating contracts with vendors for a variety of goods and services related to special event planning. Monitor delivery of goods and services to ensure contract terms are satisfied.
Work with the Enrichment and Engagement Department to ensure marketing and promotion items for all events are created and up to date as needed.
Outreach Duties:
Attend, promote, and pursue outreach and tabling opportunities for House of Hope and ensure marketing and promotional materials are stocked, printed and up to date.
Manage all third party event requests such as: food drives and fundraising events.
Secure routine speaking engagements for CEO and other staff (i.e. Chamber, Kiwanis, Rotary)
Work with the Enrichment and Engagement Department to ensure marketing material and promotion for all events.
Conduct tours of locations (i.
e the main office, the farm. Kindoo, Golden Gate…)
Other Duties and Responsibilities:
Participate in disaster or emergency-related duties, as needed.
Provide support to fellow department team members, as well as outside departments, as needed.
Perform all duties in conformance with appropriate safety and security standards.
Attend training, as requested.
Perform other duties as assigned by supervisor.
Act as an ambassador for House of Hope at external meetings and events.
EDUCATION/EXPERIENCE
High school diploma or equivalent required. 1-2 years of event planning/resource development/ project management or a related field or a relevant education, such as a degree or certification that pertains to the job description required.
KNOWLEDGE, SKILLS AND ABILITIES
Experience in working in or with a not-for-profit organization.
Stellar written and verbal communication skills.
Excellent etiquette in letter and invitation execution
Excellent social listening skills
Attention to detail, good spelling and ability to maintain style consistency.
Ability to work with minimal supervision.
Ability to multi-task and prioritize with attention to detail.
Ability to communicate effectively with clients, donors, volunteers, co-workers and board members, verbally and in writing.
Ability to exercise good judgment and discretion. Maintain confidentiality of clients, co-workers and the agency.
Knowledge about the operation of general office equipment,
Proficiency in operating standard computer-based programs and applications, including Microsoft Office.
Proficiency in design software such as Canva.
Ability to learn and work in Donor perfect, the companies donor database.
Must have reliable transportation with acceptable insurance coverage and clean and valid Florida driver's license.
Ability to work occasional evening and weekend hours, as required.
Ability to maintain clean, well-groomed appearance and dress appropriately for the position.
Compliance with House of Hope policies and procedures.

Pay:
$44,000.00 - $50,000.00 per year
