Job Description

A Posh Productions is seeking a highly organized, creative, and client-focused Event Producer to join our team. This role is responsible for taking events from the planning stage through successful execution, serving as a primary point of contact for clients and coordinating closely with our Warehouse, Logistics, and Production teams. The ideal candidate is someone who thrives in a fast-paced environment, enjoys working directly with clients, and can confidently manage multiple moving pieces at once. Our events are highly customized, so this position requires strong attention to detail, creative problem-solving, excellent communication, and the ability to turn a client's vision into a clear and executable production plan. This is a hands-on position that combines client management, event production, project management, logistics, and onsite event execution.
Responsibilities Client & Event Management:
Serve as the primary point of contact for assigned clients once an event is booked. Build and maintain strong relationships with clients, planners, venues, and vendor partners throughout the planning process. Communicate with clients regularly regarding event details, revisions, timelines, logistics, and production needs. Gather inspiration, floor plans, venue requirements, measurements, timelines, and other information necessary to successfully produce an event. Review client visions and translate concepts, inspiration images, and design ideas into realistic production plans. Coordinate client meetings, venue walkthroughs, production meetings, and final event-detail reviews. Respond to client questions and requests in a timely, professional, and solutions-oriented manner. Manage multiple events simultaneously while maintaining accurate and organized event records.
Event Production & Planning:
Develop detailed production plans for each assigned event. Coordinate rental items, décor, draping, lighting, dance floors, staging, furniture, specialty installations, and other production elements. Review event layouts, floor plans, diagrams, and venue specifications to ensure proper execution. Confirm venue access, loading docks, freight elevators, setup windows, teardown requirements, power availability, rigging requirements, and other venue restrictions. Coordinate with venues, planners, vendors, and internal departments to ensure all event details are confirmed prior to the event. Identify potential production challenges in advance and develop solutions before event day. Ensure all event details are accurately communicated to the appropriate internal teams.
Internal Team Coordination:
Work closely with Sales to ensure a smooth transition from the sales process into event production. Collaborate with Design, Warehouse, Logistics, and Production teams to ensure the correct inventory, staffing, equipment, and materials are prepared for each event. Communicate event changes and updates clearly to internal departments. Review proposals and contracted items to ensure the production team has accurate information. Assist with creating and maintaining production schedules, event timelines, pull sheets, and other internal documentation. Help ensure inventory is accurately accounted for before and after events. Participate in post-event communication and identify opportunities to improve future events.
Onsite Event Execution:
Attend and oversee assigned events onsite. Coordinate vendor arrivals, load-in, setup, installation, event transitions, and teardown. Supervise A Posh staff and coordinate with outside vendors and venue personnel. Ensure installations and décor are completed according to the approved design and production plan. Troubleshoot unexpected issues quickly and professionally while maintaining a positive client experience. Monitor event timelines and ensure production milestones are completed on schedule. Conduct final walkthroughs with clients, planners, and/or venue representatives when necessary. Assist with room flips, event transitions, and other time-sensitive production needs. Oversee strike and ensure all A Posh equipment and inventory is properly accounted for following an event.
Sales & Proposal Support:
This position will work closely with the Sales team and may assist with: Preparing and revising client proposals. Gathering information necessary to accurately quote custom event elements. Communicating pricing, production requirements, and feasibility to clients. Identifying opportunities to add services or enhance an existing event design. Assisting with client follow-ups and proposal revisions. Reviewing contracted services to ensure the final production plan reflects what was sold. Helping identify additional event needs that may have been overlooked during the initial planning process.
Administrative & Organizational Responsibilities:
Maintain accurate client and event information within the company's CRM and event management systems. Keep communication, proposals, layouts, timelines, and event documentation organized and up to date. Track deadlines and follow up with clients, vendors, venues, and internal departments as needed. Maintain detailed notes regarding event requirements and changes. Assist with invoicing, payment follow-ups, contracts, and other administrative tasks related to assigned events. Participate in team meetings and contribute to improving internal event-production processes. Help develop and maintain standardized procedures for event planning and execution.
Qualifications:
Previous experience in event production, event planning, hospitality, rentals, weddings, corporate events, or a related industry. Strong organizational and project-management skills. Ability to manage multiple events and deadlines simultaneously. Excellent written and verbal communication skills. Comfortable communicating directly with clients, planners, venues, and vendors. Strong attention to detail and ability to follow through on small but important event details. Ability to remain calm, professional, and solutions-oriented in a fast-paced environment. Strong problem-solving and decision-making skills. Comfortable working with budgets, proposals, contracts, timelines, and production documentation. Proficiency with Microsoft Office, Google Workspace, CRM/event management software, or similar platforms. Ability to read and understand floor plans, layouts, measurements, and event diagrams. Previous experience with event setup, rentals, production, or warehouse operations is a plus. Hospitality, catering, floral, décor, production, or wedding-industry experience is highly desirable. The ideal candidate is someone who: Is extremely organized and doesn't let details fall through the cracks. Can confidently manage several clients and events at different stages of planning. Enjoys working directly with people and building client relationships. Has a strong eye for design and understands how creative concepts translate into physical event environments. Is comfortable working both in an office / from home and onsite at events. Can think quickly and find solutions when plans change. Takes ownership of their events from beginning to end. Communicates clearly with both clients and internal teams. Is proactive rather than waiting to be told what needs to be done. Understands that successful events require both creativity and logistics. Is willing to get hands-on when necessary and work as part of a team.
Schedule & Work Environment:
This position includes both office-based planning and onsite event production. Event schedules may include evenings, weekends, holidays, and extended hours depending on the event calendar. The position requires the ability to work in a fast-paced production environment and may involve standing, walking, lifting, moving equipment, and working during event setup and teardown.
What Success Looks Like:
A successful Event Producer will ensure that clients feel informed and supported throughout the planning process while ensuring that every event is thoroughly prepared for and executed according to the contracted vision. The goal is to create a seamless connection between what was sold, what the client envisioned, what the production team prepared, and what ultimately happens onsite. $50,000.00 - $80,000.00 per year
