Job Description

Job Summary:
The Fundraising Events Coordinator is responsible for planning, coordinating, and executing fundraising events and providing event-planning expertise for donor engagement and stewardship activities that advance Humane Indiana's mission and revenue goals. This position manages event timelines, budgets, logistics, vendors, committees, volunteers, guest experience, and post-event evaluation. The Fundraising Events Coordinator also serves as the primary relationship manager for corporate sponsors whose main involvement with Humane Indiana is event sponsorship, while developing new sponsorship relationships through participation in chamber, networking, and community events. Working closely with the Development Team, Marketing Manager, and Executive Leadership, this role ensures fundraising events and sponsorship benefits are delivered professionally, efficiently, and in alignment with Humane Indiana's goals and brand.
Duties/Responsibilities:
  • Execute and continuously improve the annual fundraising event plan established by the Development Manager and Executive Leadership, ensuring alignment with organizational priorities and revenue goals.
  • Lead the planning and execution of Humane Indiana's fundraising events, including detailed timelines, project plans, operational procedures, and day-of coordination.
  • Manage all event logistics in collaboration with the Development Manager and event committees, including identifying, evaluating, negotiating with, and coordinating venues, vendors, suppliers, service providers, and associated contracts for catering, audiovisual services, permitting, transportation, rentals, staffing, and attendee experience.
  • Develop, manage, and monitor event budgets; track revenue and expenses and implement cost-effective solutions that maximize net event revenue without compromising quality.
  • Serve as the primary staff liaison for fundraising event committees and coordinate the participation of staff, board members, volunteers, and other organizational representatives.
  • Coordinate event-related volunteer needs in collaboration with Shelter, Wildlife, Resale, and other appropriate team leads.
  • Oversee event registration, invitations, guest communications, seating, and related attendee logistics in collaboration with the Development Team and Executive Leadership.
  • Execute and continuously improve event sponsorship packages, solicitation materials, and recognition opportunities in collaboration with the Marketing Manager and with final approval from the Development Manager.
  • Identify, cultivate, solicit, secure, renew, and steward event-focused corporate sponsors and community partners through proactive communication, documented commitments, timely follow-up, and year-round engagement.
  • Represent Humane Indiana at chambers of commerce, civic, professional, networking, and community events to build relationships and identify new sponsorship and fundraising opportunities.
  • Work closely with the Marketing Manager to coordinate the timely fulfillment of sponsorship benefits, including required materials, deadlines, branded recognition, and promotional deliverables.
  • Accurately and promptly document sponsor and community-partner contacts, commitments, benefits, activities, and next steps in the CRM, with assistance from the Development Database Coordinator.
  • Work collaboratively with the Donor Relations Coordinator and Development Manager when corporate relationships overlap with individual giving, major-gift, or donor-cultivation opportunities.
  • Provide strategic and logistical support for approved third-party and community-led events that generate revenue, sponsorship opportunities, or meaningful fundraising relationships for Humane Indiana.
  • Track and report event attendance, revenue, expenses, sponsorship performance, and other key outcomes; conduct post-event evaluations and recommend improvements.
  • Maintain organized event and sponsorship records, including contracts, budgets, timelines, benefit commitments, reports, and operational documentation.
  • Maintain strict confidentiality and uphold high ethical standards in all sponsor, donor, vendor, and organizational interactions.
  • Provide event-planning and logistical support for donor cultivation, stewardship, recognition, and appreciation events led by the Donor Relations Coordinator, Development Manager, Executive Leadership, Board Members, or other organizational representatives as appropriate.
  • Perform additional duties as assigned to support organizational goals.
Required Skills/Education:
  • Bachelor's degree preferred, or equivalent combination of education and relevant experience required.
  • Minimum three years of event planning, project management, and fundraising or related experience preferred; nonprofit experience is strongly preferred.
  • Demonstrated experience planning and executing events, managing budgets and timelines, and coordinating vendors, volunteers, and multiple stakeholders.
  • Demonstrated ability to build professional relationships and communicate confidently with sponsors, business leaders, community partners, vendors, donors, and volunteers.
  • Experience developing and making sponsorship requests, securing financial or in-kind support, and coordinating sponsor recognition benefits preferred.
  • Strong project management, organization, follow-through, problem-solving, and ability to manage multiple priorities and deadlines independently.
  • Excellent written and verbal communication skills, including strong customer service and attention to detail.
  • Proficiency with Microsoft Office Suite and CRM databases required; experience with event registration or project-management software preferred.
  • Collaborative approach and ability to coordinate effectively across Development, Marketing, Programs, Executive Leadership, and volunteer committees.
  • Ability and willingness to travel locally and work evenings or weekends as required by event and community-engagement schedules.

$47,000.00 - $52,000.00 per year
