Event Coordinator Help plan and run unforgettable events on Cape Cod The Sagamore is a family-owned restaurant and wedding venue with deep roots in the Cape Cod community. We're looking for an Event Coordinator to join our team, offering a base salary PLUS commission based on event sales. This role plays a key part in planning and executing weddings, private events, and celebrations from start to finish. The ideal candidate is organized, personable, detail-oriented, and confident working directly with clients, vendors, and our event team. This is a hands-on role for someone who thrives on creating memorable experiences and enjoys both the planning process and the energy of event days. What You'll Do Work directly with clients to plan and coordinate weddings, private events, and celebrations, guiding them through the planning process from inquiry through event day. Manage incoming event leads by responding to inquiries, completing follow-up tasks, conducting venue tours, and helping convert prospective clients into booked events. Coordinate event details including timelines, layouts, floor plans, vendor communication, setup requirements, catering, entertainment, décor, and other logistical needs. Prepare for and assist with on-site events and weddings , ensuring all details are organized and executed to The Sagamore's standards. Oversee day-of execution and serve as a key point of contact for clients, vendors, and internal teams, ensuring events run smoothly from setup through completion. Collaborate with event staff, kitchen, leadership, and vendors to ensure seamless communication, service, and guest experience. Problem-solve in real time , taking initiative to address unexpected challenges and keep events on track. Maintain accurate event documentation and organization , including BEOs, timelines, layouts, vendor notes, client details, and event materials. Contribute to event sales and business growth through timely lead follow-up, client relationships, venue tours, and successful event bookings. Qualifications & Expectations 1+ year of experience in event coordination, weddings, hospitality, or a related field. Highly organized and detail-oriented, with the ability to manage multiple events, clients, and priorities simultaneously. Strong communicator who is comfortable working directly with clients, vendors, and internal team members. Calm, resourceful, and solutions-oriented, with the ability to think on your feet, problem-solve, and adapt in real time. Professional and flexible, with a strong commitment to hospitality and guest experience. Comfortable working a full-time, in-person schedule with evening and weekend availability and flexibility based on the event calendar and business needs.
