As an Event Coordinator at Floriana, you will play a crucial role in ensuring that couples have a smooth and memorable wedding/event day experience. You will be responsible for working closely with couples in the weeks leading up to their event, coordinating key logistical details, and providing hands on support throughout the wedding day. This position requires strong organizational skills, attention to detail, and a passion for creating seamless and stress-free events.
Key Responsibilities:
Annual Event Assignments:
Event assignments will be distributed at the beginning of each calendar year. You will be responsible for managing your assigned events, including initial communication (post booking) with clients and ongoing coordination as the event approaches.
Email Correspondence:
During the time leading up to the event, regular email correspondence with clients is expected to address general event questions, planning updates, and confirmations.
Client Meetings:
Meet with couples 6-8 weeks before their event (in person or virtually) to review event details, including décor, ceremony logistics, and formalities. Meetings will be scheduled based on your availability. Rehearsal Coordination Décor
Drop, Rehearsal & Review:
Schedule and oversee décor drop-off with the couple (at the same time as the rehearsal if applicable). Conduct a final review of all décor items, ceremony details, and formalities during the décor drop. o Work with couples to schedule and coordinate their rehearsal (if applicable).
Paperwork Finalization:
o Finalize all necessary paperwork, including event timelines, floor plans, Banquet Event Orders (BEOs), and other relevant documents. Provide the couple with finalized paperwork ahead of the event day for their sign off. Correspond with contracted vendors ensuring they are aware of Floriana policies and procedures and in sync with planned timing and formalities.
On-Site Event Support:
Arrive at the venue one hour before the couple and be present throughout the entire event, ensuring everything runs smoothly (an average event day lasts 10-12 hours).
Event Wrap-Up:
Oversee the event's conclusion, including locking the building and setting the alarm. o Provide any necessary follow up to Managers and Facility Team.
