This position is in the Public Relations and Events Group within the Member Engagement Department and reports to the SVP of Public Relations & Events. Primary responsibilities include maintaining a calendar of both industry and CSA events, and coordinating registrations, sponsorships and related activities. This position serves as the key point of contact between CSA and various industry associations for all event related activities. Assists with planning and registrations for CSA sponsored events. Essential Job Duties Manages and updates the industry event calendar in Monday.com software. Researches past event dates to input current year's event dates into the department calendar. Keeps the Member Engagement Team and Relationship Managers informed about upcoming events. Provides registered attendees with conference details, including hotel information, agendas, and booth requirements. Understands and manages conference cancellation policies; coordinates with contacts for cancellations and refunds; and notifies accounting of expected refunds. Collaborates with third-party vendors to arrange essential services like Wi-Fi and electricity for conferences. Tracks conference and registration expenses for budgeting purposes. Researches and proposes new associations and events that could benefit the Association. Works with SVP PR & Events to determine sponsorship levels, amounts, and/or quantities. Requests invoices for conference fees (registrations and sponsorships), obtains approval from the SVP PR & Events, and submits to accounting. Coordinates with conference contacts to arrange promotional item donations. Updates SVP PR & Events and co-workers on item needs, shipping details, and recipients so they may be pulled from inventory and shipped accordingly. Maintains a spreadsheet tracking sent promotional items. Attends and contributes to quarterly Member Engagement meetings, provides updates, and records decisions in Monday.com. Engages in forward-thinking and is proactive in enhancing Association exposure and marketing strategies. Qualifications The Industry Relations Specialist must have an Associates degree. This professional must have the following qualities: Proficiency in Excel, Word and MS Office. Experience with event planning and coordination of the event. Highly organized and detail oriented. Strong communication skills and ability to work collaboratively across departments. Manage multiple meetings per week both within and outside the department. Excellent written and verbal communication skills. Attentiveness to detail. Strong analytical skills. Accomplishes a deadline. Knowledge, Skills, and Abilities
