Events Coordinator Job Type:
Part-time / Variable Hours (event-based scheduling) Position Summary The Events Coordinator is responsible for guiding events from initial planning through day-of execution and breakdown, ensuring every event — weddings, wine dinners, brunches, and other on-site gatherings — meets the venue's standards for service, professionalism, and operational excellence. This role owns the post-booking planning process for weddings, serves as the key point of contact for clients and vendors, and leads on-site staff throughout each event. Essential Responsibilities Pre-Event Planning & Vendor Coordination Meet with couples/clients throughout the planning process to confirm timeline, vendor details, and event specifications Conduct tours and initial sales meetings, as needed. Serve as the primary point of contact for outside vendors (caterers, florists, rental companies, entertainment) from booking through event day Confirm vendor arrival times, load-in/load-out logistics, and deliverables in advance of each event Conduct final walkthroughs with clients ahead of weddings to confirm details and timeline Follow up with vendors post-event on rental returns, invoicing, or outstanding items Review event timelines, floor plans, staffing assignments, and special instructions prior to each event Day-of Execution Serve as the on-site operational leader for assigned events Lead and direct event staff during setup, service, transitions, and breakdown Conduct pre-event staff meetings and communicate expectations, assignments, and timelines Ensure event spaces are set according to approved floor plans and specifications Monitor event flow and ensure scheduled activities stay on time Coordinate transitions between event segments (ceremony, cocktail hour, dinner, speeches, etc.) Serve as a professional point of contact for clients and guests during the event Anticipate and address client/guest needs; handle escalations discreetly and efficiently Staff Leadership & Mentoring Direct event staff and ensure each team member understands their responsibilities Monitor staff performance, professionalism, and adherence to service standards Assist with training new event staff on procedures and expectations Coach and mentor wait staff on service quality and standards, including wine service basics Address performance or conduct concerns and escalate significant issues to ownership/management Encourage teamwork and a positive, professional work environment during events Qualifications Previous experience in event operations, hospitality, catering, weddings, or a related service industry preferred Follow business casual dress code Previous leadership or supervisory experience preferred Strong customer service and interpersonal skills Excellent verbal and written communication skills Ability to multitask and prioritize effectively in a fast-paced environment Strong attention to detail and organizational skills Ability to make sound decisions and solve problems independently Comfortable working evenings, weekends, and holidays as event schedules require Reliable and punctual, with flexibility for a variable schedule (heavier during wedding season) Physical Requirements Ability to stand and walk for extended periods during events Ability to lift and carry event-related items weighing approximately 25-50 pounds as needed Ability to move furniture, tables, chairs, décor, and other event equipment Ability to work in both indoor and outdoor environments and in varying weather conditions
