Phoenix Corporation is looking for an organized, energetic Office & Events Coordinator who enjoys making things run smoothly and creating a great experience for others. This role combines office coordination, events, employee experience, and administrative support. It's a great fit for someone who takes initiative, enjoys variety, and is comfortable managing a lot of moving pieces. Your background might be in office administration, event planning, hospitality, venue management, catering, or another fast-paced, service-focused environment. What matters most is that you're organized, dependable, resourceful, and willing to jump in and get things done.
WHAT YOU'LL DO
Office & Workplace Coordination Help keep the office organized, professional, welcoming, and running smoothly. Coordinate conference rooms, meetings, supplies, refreshments, and office needs. Manage office, kitchen, and breakroom supplies and reorder as needed. Coordinate cleaning, maintenance, repairs, and other building services. Manage relationships and schedules with office vendors. Welcome visitors and coordinate incoming deliveries. Look for practical ways to improve the workplace and employee experience. Events & Employee Experience Coordinate company meetings, lunches, celebrations, employee events, and team gatherings. Manage event details including catering, vendors, supplies, setup, timing, and communications. Help plan employee appreciation activities, milestone celebrations, holidays, and seasonal events. Coordinate employee and customer gifts, including ordering, tracking, packaging, and distribution. Bring creative ideas to the table for activities and experiences that strengthen company culture. Administrative & Business Support Provide administrative and project support across the organization. Manage company mail, files, correspondence, and general recordkeeping. Assist with purchasing, invoices, receipts, data entry, and administrative tracking. Prepare and distribute office updates, reminders, and company communications. Coordinate company apparel, uniforms, business cards, name badges, signage, and other branded materials. Support new-hire logistics, including workspace setup, supplies, apparel, and welcome materials. Maintain calendars and schedules for shared spaces, events, vendors, and recurring office needs. Shipping & Logistics Coordinate incoming and outgoing packages, shipments, and deliveries. Prepare shipping labels and paperwork and schedule pickups as needed. Track important shipments and help resolve delivery issues. Receive and route delivered materials to the appropriate teams.
WHO WE'RE LOOKING FOR
The right person for this role enjoys being the person who makes things happen. You notice what needs attention, take ownership, and follow through. You don't need to come from a traditional office management background. Experience in events, hospitality, weddings, venues, catering, customer service, or another coordination-focused environment can translate very well to this position. We're looking for someone with: 1-3+ years of professional experience in events, hospitality, office administration, customer experience, or a similar role. Strong organization, attention to detail, and follow-through. The ability to manage multiple priorities without losing track of the details. A proactive, resourceful approach to solving problems. Strong written and verbal communication skills. Confidence working with employees, customers, visitors, and vendors. High standards for presentation, service, and professionalism. Comfort with Microsoft Office and the ability to learn new systems quickly. A positive, hands-on attitude and willingness to help wherever needed.
