Job Description

Position Summary The Junior Event Coordinator supports the planning, coordination, and execution of events from the initial client handoff through event completion. This client-facing position serves as a primary point of contact for existing event bookings, ensuring event details are accurately communicated, documented, and executed. The ideal candidate is highly organized, service-oriented, and comfortable working in a fast-paced hospitality environment. This position combines administrative event coordination with hands-on, onsite event management and requires close collaboration with clients, the Sales Manager, kitchen staff, and other departments. Key Responsibilities/Pre-Event Coordination Introduce yourself to new event clients following the initial handoff from the Sales Manager. Communicate with clients by phone and email to finalize event details, including guest counts, food and beverage selections, allergies, and other event requirements. Review court reservation holds against events in Reunion to verify event times, reserved courts, and other booking details. Update event proposals based on client requests. Send final payment reminders approximately 10 days before events and collect any remaining event details. Process remaining balances approximately seven days before events and provide clients with updated invoices. Answer incoming calls from the events line, directing new leads to the Sales Manager and assisting existing clients with questions. Respond promptly and professionally to client emails and phone calls. Participate in occasional networking and expo events. Attend weekly team meetings to review upcoming events and staffing requirements. Prepare and distribute a weekly email detailing events for the upcoming two weeks, including applicable Banquet Event Orders (BEOs). Event-Day Execution Prepare and print reserved signage for designated lounges and event spaces. Print and distribute kitchen sheets for the culinary team. Set up buffet areas, including plates, utensils, drinkware, water pitchers, food signage, serving utensils, and necessary accompaniments. Assist with food service and buffet replenishment as needed. Prepare paddles and balls for reserved courts. Check in with event groups throughout the event to ensure exceptional service and address client needs. Create beer cards and initiate bar tabs when applicable. Add tabs and additional purchases to events in Reunion and process payments as needed. Assist guests with additional arcade cards, court time, food, or other event requests. Complete post-event cleanup, including breaking down buffet areas, wiping tables, and sweeping. Record event invoices in GoTab and properly close them to the appropriate Reunion House account. Document post-event notes for the Sales Manager, including relevant details regarding event execution and the client experience. Qualifications High school diploma required. Associate or bachelor's degree in Business, Hospitality Management, Event Management, or a related field preferred. Minimum of one year of event management experience OR 2-3 years of food and beverage experience . Strong customer service and interpersonal skills. Excellent verbal and written communication skills. Ability to communicate event details accurately and effectively across multiple departments. Strong organizational skills and attention to detail. Ability to manage multiple priorities in a fast-paced environment. Comfortable working directly with clients and responding professionally to changing event needs. event needs. Ability to perform occasional medium physical activity. Frequent standing and walking throughout shifts. Ability to regularly walk up and down stairs. Ability to assist with event setup, service, and breakdown. Schedule & Work Environment This is a hybrid administrative and onsite event management position. The Junior Event Coordinator is expected to be onsite to oversee assigned events and event operations , while certain administrative responsibilities may be completed remotely. The position requires flexibility based on the event schedule and the ability to provide attentive, professional service throughout each event. What Success Looks Like A successful Junior Event Coordinator ensures that event details are accurate, clients feel supported and informed, internal teams have the information they need, and events are executed smoothly from preparation through breakdown. The role requires a balance of hospitality, organization, communication, attention to detail, and hands-on event support.

$40,000.00
