Negotiate contracts with vendors, venues, caterers, and entertainment providers to secure optimal services and pricing. Oversee all logistical aspects of events such as venue setup, catering arrangements, technical equipment, and guest accommodations. Manage event marketing efforts through targeted campaigns and promotional activities to maximize attendance and engagement. Utilize event management software and CRM systems to track client information, manage registrations, and analyze post-event feedback. Lead and supervise teams of staff or vendors during events to ensure smooth operations and exceptional customer service. Monitor event budgets meticulously, controlling costs while identifying opportunities for upselling additional services or enhancements. Foster strong relationships with clients through clear communication, proactive problem-solving, and personalized service delivery. Conduct post-event evaluations to gather insights for continuous improvement and future planning. Qualifications Proven experience in event planning or management within the hospitality industry or related fields. Strong negotiation skills with a track record of securing favorable contracts and vendor agreements. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) along with familiarity with event management software and CRM systems. Excellent organizational skills with the ability to manage multiple projects simultaneously under tight deadlines. Exceptional communication skills for effective client interaction and team leadership. Experience managing event budgets from initial planning through final reconciliation. Knowledge of catering operations, banquet services, and technical requirements for events is highly desirable. Demonstrated ability to upsell services or packages that enhance client satisfaction while increasing revenue opportunities. Prior experience in fundraising or guest services is a plus.
