This is a highly hands-on role for someone who is naturally wired to get things done . The ideal candidate anticipates needs, solves problems independently, communicates clearly, and follows tasks through from beginning to end without requiring repeated reminders. They should be equally comfortable managing calendars and household logistics, returning packages, organizing a playroom, preparing school lunches, coordinating childcare for a work dinner, grocery shopping, or developing a detailed home-support plan during business travel. The family includes three girls, ages 6, 4, and 1. We currently have an au pair, an afternoon babysitter as well as weekly help with cleaning the house and cooking family meals. The House Manager & Family Assistant will help create coordination, continuity, and organization across the household team while also stepping in to provide practical, hands-on support as needed. Schedule Approximately 20 - 30 hours per week, ideally Sunday through Thursday Schedule to be established based on the candidate's availability and the family's needs Opportunity to work additional hours during evenings or weekends Some schedule flexibility will be important during busy work periods, family travel, school holidays, special events, or other high-need periods Key ResponsibilitiesFamily, Calendar & Household Management Serve as a central point of coordination for the family's personal, household, school, and activity schedules.
Responsibilities may include:
Coordinating schedules and responsibilities among the live-in nanny, afternoon babysitter, chef, house cleaner, and other household support Helping create clear weekly plans so schedules, responsibilities, and coverage are understood Researching options, comparing vendors, scheduling services, and confirming logistics Maintaining family and household task lists and ensuring outstanding items are followed through to completion Helping establish and maintain household systems, routines, inventories, shared calendars, and organizational processes Coordinating family travel preparation, packing lists, itineraries, and post-travel organization Identifying scheduling conflicts or logistical gaps early and proactively recommending solutions Coordinating childcare and household coverage for work dinners, events, meetings, or evening commitments Planning home support during business travel, including childcare coverage, school transportation, meals, activities, and other family logistics Ensuring personal appointments, school events, family obligations, and professional commitments are appropriately reflected across relevant calendars Coordinating around doctor's appointments, parent-teacher conferences, school holidays, performances, drop-off and pick-up schedules, and children's activities Flagging conflicts early and helping develop workable solutions Communicating schedule changes promptly and clearly to the appropriate people Helping ensure that both the home and professional support teams have the information they need to plan effectively The House Manager & Family Assistant should be comfortable working as part of a broader support team and understand the importance of strong communication, clear ownership, and closing loops. Child & Family Support Provide supplemental childcare (we have an au pair) and practical support for the family's three girls, ages 6, 4, and 1.
Responsibilities may include:
Helping with homework, reading, school projects, and school preparation Facilitating simple arts and crafts, games, or age-appropriate activities Preparing and packing school lunches and snacks Helping organize backpacks, school supplies, activity bags, uniforms, and other children's belongings Preparing bottles, snacks, or simple meals as appropriate Helping coordinate children's schedules with caregivers and activity providers Providing an extra set of hands during busy transitions or when additional support is needed Helping maintain organized and functional children's spaces, including bedrooms, closets, playrooms, homework areas, and activity supplies Planning activities and coordinating with teachers, tutors, coaches, camps, classes, and enrichment providers This is not primarily a nanny position, but candidates must genuinely enjoy being around children and feel comfortable stepping into childcare responsibilities when needed. Errands, Shopping & Household Purchases Handle routine family and household errands efficiently and reliably, including managing the follow-through associated with purchases and returns.
Responsibilities may include:
Returning or exchanging packages and merchandise Preparing, labeling, mailing, and tracking packages, documents, gifts, and returns Managing UPS, FedEx, USPS, Amazon, and other deliveries or returns Completing grocery shopping and maintaining household shopping lists Selecting reasonable substitutions when items are unavailable Putting groceries and household purchases away Picking up prescriptions, household supplies, school materials, clothing, gifts, or other needed items Coordinating dry cleaning, tailoring, repairs, and other local services Managing online orders, delivery schedules, receipts, refunds, exchanges, and order-related follow-up Researching products, comparing options, and making purchases within agreed-upon parameters Helping manage gifts, birthday presents, teacher gifts, holiday purchases, and related logistics Keeping the family informed of completed errands, outstanding items, delivery issues, or required follow-up The expectation is not simply to complete the errand, but to own the task through completion —for example, confirming that a return was received and the refund was processed rather than simply dropping off the package. Meal & Household Support Assist with light household responsibilities that keep the home running smoothly.
Responsibilities may include:
Coordinating with the family's chef regarding schedules, menus, groceries, dietary preferences, and household needs Ordering dinner or preparing simple family meals when needed Preparing school lunches and snacks Maintaining grocery, pantry, refrigerator, and household supply lists Doing family and children's laundry (children's laundry split with au pair and afternoon babysitter) Folding, sorting, and putting away clothing or household linens Helping rotate children's clothing as they grow or seasons change Organizing closets, kitchen spaces, pantry areas, home office spaces, playrooms, children's rooms, storage areas, and other household spaces Completing light household reset tasks to keep spaces functional and orderly Maintaining a clean and organized kitchen, playroom, family room and bedrooms for adults and children Helping prepare the home for guests, travel, holidays, parties, or family events Coordinating priorities and special requests with the weekly house cleaner This is not a primary housekeeping role , but the ideal candidate should be comfortable noticing what needs to be done and completing practical household tasks. Technology Requirements The successful candidate must be highly proficient with technology and comfortable using digital tools to organize a complex household. Strong proficiency with the Google ecosystem is required, including: Google Calendar Gmail Google Drive Google Docs Google Sheets Google Slides Google Photos Google Gemini The candidate should be comfortable creating and maintaining shared calendars, spreadsheets, checklists, household documents, itineraries, photo libraries, presentations, and planning systems. They should also be comfortable learning new technology, using AI tools to work more efficiently, navigating online ordering and delivery platforms, and maintaining organized digital files. Qualifications Prior experience as a personal assistant, family assistant, household manager, executive assistant, nanny-family assistant, or in a similarly complex coordination role Experience supporting a dual-income dual-professional household Demonstrated ability to manage competing priorities, schedules, logistics, errands, and follow-up Strong proficiency with Google Workspace Excellent written and verbal English communication skills Strong organizational and administrative skills High level of comfort working in a home with young children Ability to work independently and exercise sound judgment Willingness to complete both administrative and hands-on household tasks High degree of discretion and professionalism Reliable attendance and consistent availability during agreed-upon hours Valid driver's license and reliable transportation strongly preferred given the errands and family logistics involved CPR-trained and certified Preferred Qualifications Experience coordinating multiple caregivers or household employees Experience planning children's activities, camps, appointments, and educational support Experience developing household systems and organizational processes Familiarity with AI tools, particularly Google Gemini Fluency in Spanish or French, including the ability to speak, read, and write the language, in addition to English Comfort preparing simple, healthy meals for children and families Above all, we are looking for someone who sees something that needs to be done and thinks, "I'll take care of it" and then takes care of it. Compensation Competitive hourly compensation based on experience, qualifications, and the final scope of responsibilities.
