Job Description

Payroll & Benefits Specialist Reports To:
Chief Financial Officer The Payroll & Benefits Specialist is responsible for accurately processing payroll, maintaining employee payroll and benefits records, administering employee benefit programs, and ensuring compliance with applicable federal, state, and local regulations. This position serves as a key point of contact for employees regarding payroll, deductions, timekeeping, benefits enrollment, and related questions while maintaining a high level of confidentiality, accuracy, and professionalism. Duties and Responsibilities
  • Process bi-weekly payroll for multiple companies accurately, including regular wages, overtime, bonuses, deductions, garnishments, reimbursements, etc.
  • Review and verify timekeeping records, paid time off, leave balances, and payroll changes prior to payroll submission.
  • Maintain accurate payroll records for new hires, terminations, transfers, pay changes, tax withholding forms, direct deposit information, and benefit deductions.
  • Administer employee benefit programs, including health, dental, vision, life insurance, disability, retirement plans, COBRA, and other company-sponsored benefits.
  • Coordinate benefits enrollment, qualifying life event changes, open enrollment activities, benefit terminations, and employee eligibility updates.
  • Serve as a primary contact for employee questions related to payroll, deductions, taxes, timekeeping, paid leave, benefits coverage, and enrollment procedures.
  • Prepare and maintain payroll and benefits reports for management, finance, audits, compliance filings, and internal recordkeeping.
  • Assist with year-end payroll processes, including W-2s, ACA, payroll tax reporting, benefit reporting, and employee record updates.
  • Ensure compliance with applicable wage and hour laws, payroll tax requirements, benefits regulations, company policies, and record retention requirements.
  • Communicate with payroll providers, insurance carriers, retirement plan administrators, brokers, auditors, and other vendors as needed.
  • Investigate and resolve payroll or benefit discrepancies in a timely and professional manner.
  • Maintain confidentiality of sensitive employee, payroll, benefits, medical, and financial information.
  • Support HR and finance functions by assisting with audits, employee onboarding, offboarding, policy updates, and special projects.
  • Stay informed of changes in payroll, tax, employment, and benefits regulations and recommend process improvements when appropriate. Qualifications
  • High school diploma or equivalent required; associate or bachelor's degree in Human Resources, Accounting, Business Administration, or a related field preferred.
  • Two or more years of payroll, benefits administration, human resources, accounting, or related administrative experience preferred.
  • Knowledge of payroll processing, payroll taxes, benefit deductions, wage and hour requirements, and employee benefit administration.
  • Experience with payroll systems, timekeeping systems, and Microsoft Office applications, especially Excel.
  • Familiarity with
COBRA, FMLA, ACA
reporting, retirement plan administration, and related benefit compliance requirements preferred. Required Skills and Abilities

  • Basic understanding of accounting principles and payroll reconciliation processes.
  • Ability to work independently and collaboratively with HR, finance, managers, employees, and external vendors. Position Details

$22.00 - $26.00 per hour
