Position Description The Benefits & Compliance Manager plays a key role in administering employee benefits programs, supporting HR operations, and ensuring compliance with regulatory requirements. This position manages benefits transactions, employee lifecycle processes, and HR systems while partnering with payroll, vendors, and internal stakeholders to ensure accurate and timely service delivery. This role is required to have broad knowledge of HR best practices, and is relied on for support of company initiatives, responding to employee inquiries and concerns, and serving to clarify and uphold company policies and practices.
Responsibilities:
Administer the day-to-day operations of employee benefit programs, including medical, dental, vision, life insurance, disability, retirement plans, and voluntary benefits.
Manage employee benefit enrollments, qualifying life events, and terminations.
Conduct regular benefits audits and review enrollment reports to ensure data integrity and employee records are maintained with accuracy.
Manage benefits arrears processes, including reporting, employee notifications, and payroll deduction coordination.
Serve as the primary point of contact for employee benefit inquiries and issue resolution.
Administer employee leave programs including FMLA, Short-Term Disability, ADA, and applicable state leave programs.
Lead annual ACA compliance activities, including preparation, validation, and timely filing of Forms 1094-C and 1095-C.
Manage unemployment insurance claims and ensure timely, accurate responses to state workforce agencies and Department of Labor inquiries.
Support internal and external audits related to benefits, retirement plans, and HR compliance.
Assist with open enrollment planning and execution, including system configuration, testing, employee communications, and vendor coordination.
Develop and maintain benefit communication materials, presentations, guides, and educational resources.
Create and manage the annual benefits activity calendar, employee education sessions, and benefits-related engagement initiatives.
Contribute to the successful execution of divisional initiatives, project deliverables, and departmental priorities.
Fulfill other duties and responsibilities as assigned, contributing to the overall success and adaptability of the team.
Education/Experience:
Bachelor's degree in Human Resources, Business Administration or a related field preferred; or an equivalent combination of education and experience.
A minimum of 4 years of progressive experience in benefits administration or HR operations
Experience supporting HR audits and compliance initiatives.
Knowledge/Skills/Abilities:
Strong knowledge of employee benefits administration, COBRA, ACA, FMLA, ADA, ERISA, and related employment regulations.
Proficiency with HRIS, payroll, and benefits administration systems; Paylocity and Employee Navigator experience preferred.
Strong analytical, organizational, and problem-solving skills.
Advanced attention to detail and commitment to data accuracy.
Ability to handle confidential and sensitive information with discretion.
Excellent interpersonal, written, and verbal communication skills.
Proven ability to build effective relationships across all levels of the organization.
Strong project management skills with the ability to manage multiple priorities and deadlines.
Work Environment/Physical Demands:
Able to stand, walk, and bend for short periods of time in an office environment. Ability to sit at a desk and perform computer-based work for extended periods of time. Ability to communicate via phone and in-person. Ability to lift up to 10 pounds. The noise level for this job is usually low. While performing the duties of this job, the employee is regularly required to talk or hear. Specific vision abilities required by this job include close vision and distance vision.
