The Human Resources Assistant responsibilities include handling a variety of personnel related administrative duties. The HR assistant carries out responsibilities in some or all of the following functional areas: maintain HR information system, employee relations, onboarding, new hire orientation, benefits, compensation, reports, and tracking. JOBDUTIES & RESPONSIBILITIES
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Essential job functions and duties include, but are not limited to: § Assist with day to day operations of the HR functions and duties. § Assist HR Manager with Compliance and Safety Program. § Provide clerical and administrative support to Human Resources Manager. § Compile and update employee records (hard and soft copies). § Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations etc). § Coordinate HR projects (meetings, training, surveys etc) and take notes. § Deal with employee requests regarding human resources issues, rules, and regulations. § Assist payroll department preparation by providing relevant data (absences, bonus, leaves, etc) when needed. § Communicate with public services when necessary. § Properly handle complaints and grievance procedures. § Occasionally conduct initial orientation to newly hired employees. § Assists with benefits administration. § Will on occasion assist Safety Coordinator with any safety projects. § Ability to maintain a high-level of trust and confidentiality at all times. § Comply with company policies, safety regulations and legal guidelines. § Other duties as assigned.
SUPERVISORY RESPONSIBILITY
The position has no supervisory responsibilities. TRAVEL Travel is primarily for training purposes.
QUALIFICATIONS
The requirements listed below are representative of the knowledge, skills, and abilities required for the job: § Proven experience as an HR assistant, staff assistant or relevant human resources/administrative position. § Basic knowledge of labor laws § Proficient skills in reading, writing, and speaking in English; bilingual (English/Spanish) required. § Excellent written and oral communications skills & techniques. § Proficient in math skills. § Ability to handle multiple task/duties. §
Knowledge of Microsoft Programs:
Word, Excel, PowerPoint, QuickBooks and internal systems / applications. § Effective problem-solving/resolution skills. § Attention to detail (proofreading completed work, forms, reports, verbal orders given, etc. § Knowledge of general office skills and administrative procedures, including, but not limited to: typing (min. 45-50 wpm), filing, copying, faxing. § Ability to maintain a positive, professional, cooperative demeanor, conduct, and working relationship with peers, management, employees, and other individuals that interact with this position. § Ability to comply, interpret and support Company policies, procedures, work rules, and protocols. § Valid current California Drivers' license.
SELECTION GUIDELINES
The appropriate knowledge, skills and abilities required for this position are achievable through the following combination of education, work experience, and training: § Associate's degree and three years of human resource experience, or six years of experience in the HR field. § Any combination of experience, education, and training that provides the level of knowledge, skills, and experience needed to successful perform the job.
PHYSICAL REQUIREMENTS & WORKING CONDITIONS
The essential functions of this job require the employee to perform the following physical activities during the course of work: § Communicates orally with management, employees, co-workers, vendors, and the general public by telephone or in person, in one-on-one or group settings. § Regularly uses a telephone, computer (e-mail) and fax for communication. § Required to stand, walk, and sit for extended periods of time during the course of work shift. § Routinely required to stoop, bend, kneel, lift, and reach, in the performance of job function. § Requires the essential use of hands, speech, eyesight, and hearing. § Lifting limitations for this position: 25-30 lbs. § Vision requirements include close and distance vision, color vision, peripheral and depth vision, and the ability to adjust focus as needed. § Requires incumbent to sit and operate computer for extended periods of time during course of work day, and the ability to proficiently use the computer key-board for typing. § Must be able to pass required Drug and Alcohol Tests.
