Reports To:
Chief of Operations Position Overview The Part-Time Administrative Assistant provides clerical administrative support of a responsible and complex nature to the Chief of Operations. Manage day to day operations for HR/Business/Operation Depts. Oversees the intake, tracking, determination, and administration of leave of absence requests for all district employees. This position ensures district-wide compliance with Federal FMLA, Connecticut FMLA and Connecticut Paid Leave regulations. Key Responsibilities Plans and organizes work according to standard office procedures. Enters employment, change of status, and separation information for employees into databases. Serve as the primary point of contact for employee leave requests; evaluate eligibility, issue statutory notices (Eligibility, Rights & Responsibilities, Designation), collect medical certifications, and track usage for intermittent and continuous leaves. Maintain compliance with Federal FMLA for certified staff and manage expanded
CT FMLA/CTPL
eligibility rules for non-certified school personnel (e.g., paraprofessionals, custodial, secretarial staff). Receives and screens visitors to office and incoming telephone inquiries; answers inquiries from employees, school and outside officials, and the public, determining matters requiring attention. Work closely with Business, HR and Operations Departments. Maintain confidential medical files in strict compliance with
HIPAA/FERPA
requirements and update leave tracking data within district tracking platforms (e.g., Frontline, MUNIS, PowerSchool). Prepare letters of employment, contracts and resignations letters Responds to staff and other school systems regarding personnel matters. Use initiative to carry out tasks without close supervision Qualifications Associate's or Bachelor's degree in HR, Business Administration, or related field; minimum 2-3 years of dedicated leave administration experience (K-12 public education experience preferred). Strong working knowledge of Federal
FMLA, CT FMLA, CT
Paid Leave, and Connecticut public school labor practices. High level of discretion, acute attention to detail, strong empathetic communication, and proficiency in HRIS databases and MS Office/Google Workspace.
