Job Description

SUMMARY OF OVERALL PURPOSE
The Human Resources Project Assistant supports the Human Resources team by performing administrative and project-based work that ensures accurate employee records, efficient document management, and successful execution of HR initiatives. This position is responsible for filing, scanning, data entry, and records organization, and provides dedicated support to the organization's transition from Paycom to ADP Workforce Now, including the migration of employee records, verification of data accuracy, and assistance with testing and reconciliation activities. The ideal candidate is highly organized, detail-oriented, and comfortable working with confidential information. This is a temporary position established to support the HRIS transition and related records projects, and it is not a permanent role.
KEY ACCOUNTABILITIES
Records Management & Document Administration Organize, maintain, and update employee files in both digital and physical formats. Scan and upload personnel documents into HR systems and electronic filing platforms. Prepare, sort, and archive HR documents according to established retention guidelines. Retrieve and distribute HR records as requested while maintaining confidentiality at all times. Maintain the required separation of confidential records, including medical, I-9, and investigation files, in accordance with organizational policy and applicable law. HRIS Transition & Platform Migration Assist with the transition of employee data and records from Paycom to ADP Workforce Now. Transfer employee records and documentation from legacy systems to new platforms, ensuring completeness of each record set. Verify the accuracy and integrity of migrated data, comparing source and destination records and escalating variances. Support testing activities, data reconciliation, and issue tracking during system implementation, including parallel testing and go-live validation. Assist with document management and other platform migration projects as assigned. Data Entry & Project Reporting Enter employee information with a high degree of accuracy. Review records for completeness and identify discrepancies or missing information for follow-up. Generate basic reports and spreadsheets to track project progress and file completion status. Maintain project trackers and checklists that document what has been migrated, verified, and outstanding. All other duties as assigned
PHYSICAL DEMANDS OUTSIDE NORMAL WORK ENVIRONMENT
Prolonged periods sitting at a desk and working on a computer. Regularly required to walk, stand, bend, crouch, and use hands and arms to lift and move objects such as file boxes and record storage containers. Ability to move or lift up to 25 pounds. Occasional movement throughout Village property to retrieve and deliver records. Flexibility to work occasional extended hours during system testing, data migration, and go-live periods.
QUALIFICATIONS AND SKILLS
Associate's degree in Human Resources or a related field, or an equivalent combination of education and directly related experience. At least 1 year of experience in human resources. Hands-on experience with an HRIS. Strong data entry skills with demonstrated accuracy and speed. Ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy. Excellent organizational skills and attention to detail. Ability to speak and write English clearly and articulately with a positive, professional, and pleasant manner. Proficient with Microsoft Office Suite or related software, including Excel. Ability to work independently on repetitive, detail-intensive tasks while maintaining accuracy. Ability to operate a motorized vehicle, including battery-operated golf cart. Valid driver's license and clean driving record. Must meet acceptable attendance and punctuality requirements, which are essential functions for the position. Hands-on experience with Paycom and/or ADP Workforce Now. Prior experience supporting an HRIS implementation, data migration, or platform conversion. Bachelor's degree in Human Resources, Business Administration, or a related field. Experience with electronic document management or records retention systems. Familiarity with HR recordkeeping and confidentiality requirements for personnel, medical, and I-9 files. Experience working in a nonprofit or hospitality environment.
