The Human Resources Coordinator is responsible for coordinating the day-to-day human resources functions of Hui No Ke Ola Pono in partnership with ProService Hawaii, the organization's Professional Employer Organization (PEO). This position serves as the primary liaison between Hui No Ke Ola Pono and ProService Hawaii, ensuring effective communication, timely implementation of HR processes, and compliance with organizational policies and applicable employment laws. The Human Resources Coordinator supports recruitment, onboarding, employee relations, benefits administration, payroll coordination, personnel records management, performance management, and policy implementation while partnering with ProService Hawaii for payroll processing, human resources guidance, employment law compliance, employee relations consultation, and benefits administration.
ESSENTIAL DUTIES AND RESPONSIBILITIES HR
Partnership & Coordination Serve as the primary liaison between Hui No Ke Ola Pono and ProService Hawaii, coordinating HR services, communicating organizational needs, implementing HR recommendations, and ensuring timely resolution of employee and management inquiries. Coordinate with ProService Hawaii on employment-related matters, including payroll processing, employee relations, benefits administration, leave management, policy interpretation, and compliance. Escalate complex employee relations, employment law, leave administration, and compliance matters to ProService Hawaii for consultation and guidance. Recruitment & Hiring Coordinate recruitment activities, including posting vacancies, screening applicants, scheduling interviews, conducting reference checks, and preparing employment offers. Maintain all job postings, job descriptions, and employment offers. Coordinate new hire documentation and onboarding requirements with ProService Hawaii. Facilitate new employee orientation and onboarding to ensure compliance with organizational policies and applicable employment requirements. Coordinate employee separation processes and required termination documentation with ProService Hawaii. Employee Relations & HR Support Serve as the primary point of contact for employees regarding day-to-day human resources questions, payroll inquiries, leave requests, and benefit information. Coordinate with ProService Hawaii to provide supervisors with guidance regarding employee relations, performance management, corrective action, and interpretation of personnel policies. Ensure employee performance evaluations are completed in accordance with organizational policy. Maintain volunteer and intern personnel files. Payroll & Benefits Administration Review, verify, and coordinate semi-monthly payroll information for submission to ProService Hawaii following approval by the Fiscal Director or Executive Director. Coordinate employee benefit enrollments, qualifying life event changes, and terminations with ProService Hawaii while serving as the organizational liaison. Review monthly benefit invoices and eligibility reports for accuracy and submit them for Fiscal Director approval. Maintain paid time off (PTO) and holiday accrual records. Develop and maintain standard operating procedures (SOPs) for timekeeping and employee platforms. Personnel Records & Administration Maintain accurate, complete, and confidential electronic and paper personnel files in accordance with applicable record retention requirements. Review and update HR forms for manual and electronic processes. Maintain strict confidentiality of personnel records, payroll information, employee relations matters, protected health information, and other sensitive organizational information. Policies & Compliance Coordinate the implementation, review, and maintenance of Human Resources policies, procedures, the Employee Handbook, and standard operating procedures in partnership with ProService Hawaii. Coordinate HR practices and documentation to support compliance with applicable federal, state, and local employment laws, organizational policies, and licensing requirements. Comply with the Health Insurance Portability and Accountability Act (HIPAA) by maintaining the confidentiality of protected health information and accessing such information only as necessary to perform assigned job duties. Organizational Support Assist with organizational projects including audits, budget preparation, annual financial reporting, and other administrative initiatives. Perform other duties as assigned by the Executive Director.
QUALIFICATIONS
Minimum Qualifications Resident of Maui with valid Hawaiʻi driver's license and reliable transportation. Associate's degree in Human Resources, Business Administration, or a related field, or an equivalent combination of education and experience. Three (3) years of human resources or related administrative experience, preferably in a nonprofit, healthcare, or human services setting. Working knowledge of HR practices, employment laws, payroll, benefits, recruitment, and employee relations. Strong organizational, communication, and interpersonal skills with the ability to maintain confidentiality and manage multiple priorities. Proficiency in Microsoft Office and HRIS/payroll systems. Knowledge, Skills, and Abilities Knowledge of HR principles, employment laws, and personnel administration. Ability to interpret policies, maintain confidential records, and coordinate multiple HR functions. Strong attention to detail, problem-solving, and customer service skills. Ability to work independently and collaboratively while supporting the mission and values of Hui No Ke Ola Pono.
Pay:
$65,000.00 - $78,000.00 per year
