Monday-Friday Summary of Work:
Under the supervision of the Chief Finance Officer or designee, the HR & Finance Coordinator provides day-to-day administrative and financial support for New Visions Homeless Services, with additional responsibilities supporting basic human resources functions. This position assists with accounts payable and receivable, financial documentation, data entry, reconciliations, payroll-related processes, employee records, onboarding, and other administrative functions. The Coordinator must maintain a high level of accuracy, organization, confidentiality, and professionalism while working collaboratively with staff across the organization.
Duties and Responsibilities:
Assist with accounts payable and accounts receivable functions, including invoices, payments, deposits, and supporting documentation. Enter and maintain accurate financial information within accounting and organizational systems. Assist with expense reports, purchase documentation, and account reconciliations. Review financial documentation for completeness and accuracy and follow up on missing information. Assist the Finance Department with grant, program, and funding documentation as needed. Maintain organized electronic and paper financial records in accordance with organizational policies. Assist with payroll preparation and review, including collection and verification of timesheets and related information. Provide administrative support for employee onboarding, including required forms, documentation, and orientation materials. Maintain accurate and confidential personnel files and employee records. Assist with employee benefit enrollment, changes, and required documentation as directed. Assist with job postings, applicant tracking, reference checks, and other basic recruitment activities as needed. Track required employee documentation, training, certifications, and other personnel requirements. Respond to routine employee questions and refer complex HR matters to appropriate leadership. Maintain strict confidentiality regarding employee, payroll, financial, and organizational information. Assist with audits, monitoring visits, reporting, and preparation of requested financial or personnel documentation. Communicate professionally with employees, vendors, funders, and community partners. Participate in staff meetings, trainings, and other organizational meetings as required. Provide general administrative support to the Finance Department and organizational leadership as needed. Perform other duties as assigned consistent with the responsibilities of the position. Qualifications & Experience:
Previous experience in accounting, bookkeeping, finance, payroll, human resources, office administration, or a related position is preferred. Working knowledge of basic accounting, Quick Books, and bookkeeping practices. Experience with accounts payable, accounts receivable, payroll, or financial recordkeeping preferred. Strong computer skills, including Microsoft Office, particularly Excel, and the ability to learn accounting, payroll, and HR software. Ability to work with numbers accurately and identify discrepancies. Ability to handle sensitive financial and personnel information with a high level of confidentiality. Excellent organizational and time management skills with strong attention to detail. Excellent verbal and written communication skills. Excellent interpersonal and customer service skills. Ability to prioritize responsibilities and meet deadlines with limited supervision. Must have a valid driver's license and clean driving record for a minimum of two years. Must provide reliable current references.
Education:
Associate's or bachelor's degree in accounting, finance, business administration, human resources, or a related field is preferred. Relevant education and demonstrated professional experience in accounting, bookkeeping, payroll, finance, human resources, or office administration may be considered in lieu of a degree.
