- Senior Services Position Summary We are seeking a detail-oriented, organized, and compassionate Human Resources Assistant to support the Human Resources function within a senior services organization.
The HR Assistant will provide administrative and operational support throughout the employee life cycle, including recruitment, onboarding, employee records, scheduling, compliance, benefits administration, and employee communication. Essential Responsibilities
- Recruitment & Hiring
- Assist with recruiting and hiring employees for caregiving, direct care, administrative, and support positions.
- Post job openings on appropriate employment websites and maintain recruitment records.
- Review applications and resumes and coordinate interviews.
- Communicate with candidates regarding interviews, required documentation, and the hiring process.
- Assist with reference checks, background checks, employment verification, and other pre-employment requirements.
- Maintain accurate recruitment and applicant records. Employee Onboarding
- Prepare new-hire paperwork and personnel files.
- Coordinate new employee orientation and onboarding activities.
- Ensure required employment, tax, direct deposit, and policy documents are completed.
- Assist with verification of required licenses, certifications, training, and other qualifications.
- Track employee orientation and mandatory training requirements.
- Employee Records & HR Administration
- Maintain confidential and accurate electronic and paper personnel files.
- Update employee information in HRIS/payroll systems.
- Assist with tracking attendance, leave, employee status changes, and other personnel information.
- Prepare routine HR reports, correspondence, forms, and spreadsheets.
- Respond to employee questions and direct more complex concerns to the appropriate HR staff member.
- Assist with employment verifications and other routine HR requests. Compliance & Senior Services Support
- Assist with maintaining compliance with applicable employment regulations and organizational policies.
- Track required employee background checks, certifications, licenses, health clearances, and training.
- Help ensure employees meet requirements applicable to working with older adults and vulnerable populations.
- Maintain accurate documentation for audits, inspections, and internal compliance reviews.
- Support timely completion and documentation of required annual trainings.
- Benefits & Payroll Support
- Assist employees with routine questions regarding benefits and enrollment procedures.
- Support benefits enrollment and maintenance of employee benefit records.
- Assist with payroll-related data collection and verification.
- Review timesheets and other payroll information for completeness and accuracy. Employee Relations & Communication
- Assist with employee engagement activities and recognition programs.
- Help distribute HR policies, announcements, training information, and other communications.
- Maintain professionalism and confidentiality when handling sensitive employee matters.
- Escalate employee concerns, complaints, or workplace issues to the appropriate HR or management personnel. Qualifications
- High school diploma or equivalent required; associate or bachelor\'s degree in Human Resources, Business Administration preferred.
- Previous administrative or Human Resources experience preferred.
- Experience in senior services, home care, healthcare, assisted living, long-term care, or another human services environment.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and ability to maintain accurate records.
- Proficiency with Microsoft Office, Google Workspace, HRIS, or similar systems.
