Essential Duties:
Maintain a comprehensive electronic database and personnel files to satisfy legal requirements and facilitate the operation of the Human Resources & Legal Services Department. Perform secretarial functions for the Human Resources & Legal Services Department, including but not limited to: typing, drafting letters and reports, preparing and duplicating materials, forms, and state reports, maintaining electronic calendars for the Assistant Superintendent for Human Resources and Legal Counsel and Director of Human Resources, and preparing databases. Prepare all position postings as well as prepare and maintain all job description and interview templates in applicant tracking system database. Provide employment and wage information for all employees to the payroll department (e.g., rate of pay, vacation entitlement, etc.). 734.322.2640. Job Description Continued Coordinate and maintain database on employee leave benefits, including FMLA, ADA, COBRA, and Workers' Compensation. Provide payroll with necessary information regarding insurance deductions, monitoring and updating as needed. including adjustments for summer payments, etc. Conduct an in-service for new staff at the beginning of each school year to review all necessary paperwork and other requirements. Individual sessions are scheduled throughout the year for staff hired after the start of the school year. Input requisitions for the Human Resources & Legal Services Department, for purchase order processing. Prepare all Human Resources memoranda for monthly Board of Education meetings (e.g., employment recommendations, leave requests, etc.). Process employee references (e.g., wage/salary verifications), previous employment information, and send/receive professional misconduct requests. Prepare annual contracts of employment for all staff. Prepare payroll for the Human Resources & Legal Services Department, including electronic verification of department absences. Provide assistance to employees on the following applications: Frontline (applicant tracking system) and Red Rover (absence management system). Handle all Workers' Compensation injury reports and paperwork, submit claims online, and communicate with/provide updates to insurance carrier. Register Human Resources & Legal Services Department personnel for conferences and complete conference request forms. Provide requested employee information for unemployment claims. Respond to questionnaires and surveys requesting information related to the district's personnel/ employee benefit program, as directed. Monitor, track, and record all professional staff certificates and licenses, including notification to staff of expiring certifications/licenses. Maintain Human Resource & Legal Services Department website Provide backup for Red Rover (absence management system) and fingerprinting. Administer the district's benefits programs, including open enrollment. Work flexible hours, including occasional evening hours for meetings. Maintain absolute confidentiality. Obtain, gather, organize and maintain pertinent data as needed and transcribe into usable format ( e.g. seniority list, HR employee listing, evaluation documents, etc). Regular, predictable, in-person attendance. Reliable transportation and valid Driver's License. Follow work rules. Adhere to MCISD Policies and Guidelines Carry out all other responsibilities as assigned. Job Description Continued Education:
Bachelor's degree in labor relations, human resources, business or related field. Associate degree with significant experience in job areas may be considered.
Experience:
Required:
minimum of 3 years of successful experience in human resources, business office, labor relations, law, or a related field. Equivalent combination of education, professional training and experience may be considered.
Required:
experience managing employee benefit programs.
Required:
Notary Public or willingness/ability to become a Notary Public.
Strongly preferred:
public school experience.
Preferred:
demonstrated experience with managing numerous databases
Preferred:
demonstrated experience with web-based programs for Human Resources functions.
Skills/Other:
Proficient in word processing, database, spreadsheet and graphics computer programs (Excel, Word, PowerPoint, Access, Outlook) Excellent attention to detail, balance changing priorities, work with frequent interruptions and pressures to meet overlapping deadlines. Excellent spelling, grammar, punctuation, oral and written communication, including note taking. Understanding of and ability to work with salary figures and insurance premium calculations. Ability to compute rate, ratio, and percents and to create graphs and excel spreadsheets. Possess discretion, sound judgment, excellent organizational ability, initiative, and ability to work independently. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Provide recommendations for how to better economic/organize department needs. Ability to interact with staff in a friendly, professional, and confidential manner. Strong communication, computer, and interpersonal skills.
