Full-Time, 12-Month Position Summary The SIS Coordinator/HR Administrative Assistant provides administrative, technical, and data-management support to the Human Resources Department and Whiteville City Schools' student information system (SIS) operations. This position is responsible for maintaining accurate student and employee records, coordinating required data submissions, supporting school personnel with SIS-related functions, and providing confidential administrative assistance to Human Resources. The position requires a high level of accuracy, organization, confidentiality, communication, and proficiency with technology and data-management systems. The employee works collaboratively with school administrators, teachers, district personnel, students, families, and state agencies to ensure accurate and timely records and reports. Essential Duties and Responsibilities Student Information System (SIS) Serve as the district-level coordinator for the Student Information System. Maintain and monitor the accuracy and integrity of student demographic, enrollment, attendance, scheduling, and related student data. Provide technical assistance and training to school-based administrators, data managers, and other staff regarding SIS procedures and functionality. Assist schools with student enrollment, withdrawals, transfers, scheduling, attendance, discipline, and other SIS-related processes. Monitor data for accuracy, completeness, and compliance with district and North Carolina Department of Public Instruction requirements. Assist with state and federal data reporting and required submissions. Monitor and resolve data errors and discrepancies identified through state reporting systems. Maintain SIS calendars, coding, and district-level settings as assigned. Coordinate with school data managers to ensure timely completion of required data tasks. Assist with student records and documentation in accordance with district procedures and applicable laws and regulations. Maintain confidentiality of student information in accordance with FERPA and other applicable requirements. Develop and maintain procedures, guides, and resources to assist staff with SIS functions. Communicate SIS updates, deadlines, and procedural changes to appropriate district and school personnel. Human Resources Administrative Support Provide administrative support to the Human Resources Department. Assist with maintaining accurate and confidential employee personnel records. Assist with processing new employee paperwork, employment documentation, background checks, licensure documentation, and other required personnel forms. Assist with employee onboarding and orientation activities. Maintain records related to employee certifications, licenses, contracts, assignments, and employment status. Assist with entering and updating employee information in applicable HR and payroll systems. Prepare routine correspondence, reports, spreadsheets, forms, and other HR documents. Assist with employment verification requests and personnel-related inquiries. Maintain organized electronic and paper personnel files in accordance with district procedures and records-retention requirements. Assist with employee separation and exit procedures. Support the HR Department with recruitment activities, including job postings, interview materials, applicant documentation, and new-hire processing. Provide courteous and professional assistance to employees, applicants, school administrators, and members of the public. Maintain strict confidentiality regarding employee and personnel information. General Administrative Responsibilities Maintain accurate records and documentation. Prepare and organize reports, spreadsheets, correspondence, and other documents. Assist with district audits, monitoring reviews, and compliance activities as assigned. Communicate effectively with district and school staff regarding deadlines, procedures, and required documentation. Attend meetings and training sessions as required. Assist with special projects and other administrative duties as assigned by the supervisor. Perform other duties consistent with the responsibilities of the position. Required Knowledge, Skills, and Abilities Knowledge of student information systems and school data-management procedures. Knowledge of general Human Resources practices and administrative procedures. Knowledge of FERPA, confidentiality requirements, and appropriate handling of student and employee records. Ability to learn and effectively use state and local education data systems. Strong computer skills, including proficiency with Microsoft Office applications, spreadsheets, email, and web-based systems. Strong attention to detail and accuracy. Ability to organize, prioritize, and complete multiple tasks within established deadlines. Ability to analyze data and identify errors or discrepancies. Strong written and verbal communication skills. Ability to provide training and technical assistance to school and district personnel. Ability to maintain confidentiality and exercise sound judgment when handling sensitive information. Ability to establish and maintain effective working relationships with employees, administrators, students, families, and external agencies. Ability to work independently while also functioning effectively as a member of a team. Education and Experience Associate's degree or higher in Business Administration, Human Resources, Information Technology, Education, or a related field preferred. High school diploma or equivalent required. Previous experience working in a school district, student information system, Human Resources office, data management, or a related administrative position preferred. Experience with PowerSchool or another North Carolina student information system is preferred. Experience with employee records, HR systems, or school-based administrative procedures is preferred. Physical Requirements The employee must be able to sit and work at a computer for extended periods, communicate effectively by telephone and in person, and perform routine office activities. The employee may occasionally be required to lift or move office materials and equipment. Terms of Employment 12-month position. Salary and benefits shall be determined in accordance with the Whiteville City Schools salary schedule and Board of Education policies. Evaluation Performance will be evaluated annually by the Director of Human Resources and Federal Programs or designee in accordance with Whiteville City Schools policies and procedures.
