Position Summary The HR Assistant provides administrative and operational support to the Human Resources department, with primary responsibility for coordinating the new hire onboarding and pre-employment process, as well as employee events and engagement initiatives. This role serves as a key point of contact for new hires and helps ensure a smooth and organized transition into the company. Key Responsibilities New Hire Onboarding Own and coordinate the new hire onboarding process from accepted offer through completion of onboarding. Serve as a primary HR point of contact for new hires leading up to and during their onboarding. Prepare and distribute new hire paperwork, onboarding materials, and first-day information. Enter new hires into the HRIS and ensure employee information is complete and accurate. Coordinate and facilitate new hire orientation. Complete Form I-9 verification and maintain required employment documentation. Ensure new hires complete required HR paperwork, training, and onboarding checklists. Collect and track required licenses, certifications, and other employee documentation. Follow up on outstanding onboarding requirements and maintain accurate new hire records. Pre-Employment Own the coordination and tracking of pre-employment requirements for incoming employees. Initiate and monitor background checks and drug screenings. Follow up on outstanding screenings and documentation to ensure completion prior to start dates. Maintain accurate pre-employment records and escalate any issues requiring additional HR review. Employee Events & Engagement Plan and coordinate employee events, appreciation activities, celebrations, and engagement initiatives. Manage event logistics, including vendors, food orders, supplies, decorations, scheduling, and communications. Coordinate employee recognition programs, service anniversaries, wellness initiatives, and company activities. Maintain an annual calendar of employee events and engagement initiatives. Prepare and distribute event announcements, invitations, and other employee communications. Manage event-related supplies and materials and assist with tracking event expenses. HR Administration & Employee Support Maintain accurate and organized electronic employee files and HR records. Maintain HR trackers, checklists, and departmental documentation. Assist employees with basic HRIS, timekeeping, and general HR questions. Track employee licenses, certifications, and other required documentation. Prepare HR letters, forms, packets, and employee communications. Provide administrative support for HR projects and departmental initiatives. Maintain confidentiality of employee and company information at all times. Qualifications Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred. Previous HR, administrative, healthcare, event coordination, or office experience preferred. Strong organizational and time-management skills with excellent attention to detail. Ability to independently manage recurring processes and meet deadlines. Comfortable communicating with new hires, employees, vendors, and management. Proficiency with Microsoft Office and ability to learn HRIS and other technology platforms.
Compensation & Benefits:
Pay Range:
$48,000-$55,000 annually the starting rate within this range for this role varies depending on a number of factors, including a candidate's qualifications, skills, competencies, experience, and location.
