We are seeking an HR Administrative Assistant to provide essential administrative and operational support to our Human Resources department. Key Responsibilities The HR Administrative Assistant will support a variety of human resources and administrative functions, including but not limited to: Maintain, organize, and create employee and departmental files in accordance with company procedures and record retention requirements. Enter, update, and verify employee and document-related information within HR systems and databases. Ensure accuracy of vendor invoices and billing information; investigate and resolve discrepancies as needed. Respond to employee and applicant inquiries professionally and provide accurate information or direct requests appropriately. Welcome employees, applicants, visitors, and other stakeholders in a courteous and professional manner. Utilize Microsoft Office applications and database systems to prepare reports, presentations, correspondence, and other business documents. Manage excel spreadsheets /data analysis. Coordinate outgoing mail, courier packages, and other communications. Prepare and maintain HR forms, packets, personnel records, and supporting documentation. Assist with employee timekeeping processes and HRIS data entry. Process the timekeeping - payroll-related activities. Deliver administrative support to HR leadership and departmental staff. Lead internal audits and compliance initiatives. Assist with employee recognition programs, engagement activities, and company events. Conduct follow-up communications and phone calls as needed. Collaborate with team members on special projects and other departmental initiatives. • Conduct new hire benefits orientation meetings, provide an overview of available benefit programs, answer employee questions, and coordinate with the third-party benefits administrator to facilitate enrollment and ongoing benefit changes. Qualifications Education & Experience Associate degree in Business Administration, Office Administration, Human Resources, or a related field preferred. Two to five years of administrative experience, preferably within Human Resources or a related business environment. Skills & Competencies Strong organizational, administrative, and time management skills. Excellent verbal and written communication abilities. Advanced proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint. Advance Excel skills is a must Ability to work independently, prioritize responsibilities, and meet deadlines. Strong attention to detail with the ability to manage multiple projects simultaneously. Exceptional customer service skills and a commitment to supporting employees at all levels. Proven ability to thrive in a team-oriented environment that values diversity, collaboration, and open communication. Strong problem-solving and troubleshooting skills. Ability to adapt to changing priorities and embrace new challenges and initiatives. Ability to read, analyze, and interpret business, financial, operational, and technical documents. Ability to compose professional correspondence, memos, and reports. Knowledge of federal and state employment laws is a must. Preferred Qualifications HR certification (PHR, SPHR, SHRM-CP, or
SHRM-SCP
) is a plus.
