Job Description

Job Description We are a growing home care agency seeking a highly organized, detail-oriented, and motivated Caregiver Onboarding & Compliance Coordinator to join our team. This position is responsible for managing the caregiver onboarding process from start to finish, ensuring all required documentation, background checks, training, and compliance requirements are completed so caregivers can be cleared and activated to begin working with clients. The ideal candidate is someone who is proactive, persistent with follow-ups, excellent at multitasking, and able to move caregivers through the onboarding process quickly and efficiently while maintaining full compliance. Key Responsibilities Manage the complete onboarding process for new caregivers, from initial application through final clearance and activation. Contact caregivers to explain onboarding requirements and assist them with completing all necessary paperwork. Consistently follow up with caregivers regarding outstanding documents, background checks, medical clearances, training, and other requirements. Review submitted documentation for accuracy, completeness, and compliance with company policies and applicable state regulations. Track each caregiver's onboarding progress and ensure outstanding items are addressed promptly. Coordinate required background checks, TB testing, certifications, and other employment-related documentation. Maintain accurate, organized, and up-to-date caregiver personnel files. Work closely with staffing coordinators to prioritize caregivers needed for active or upcoming cases. Ensure caregivers are fully compliant and cleared before being activated and assigned to clients. Identify onboarding delays, proactively resolve issues, and keep the process moving efficiently. Monitor expiring compliance documents and follow up on renewals when necessary. Provide regular updates to management and staffing teams regarding caregiver onboarding status. Qualifications Previous experience in home care, healthcare staffing, caregiver onboarding, HR, or compliance preferred. Strong organizational skills and exceptional attention to detail. Excellent communication and follow-up skills. Ability to manage multiple caregiver files and priorities simultaneously. Comfortable making frequent phone calls and following up consistently until requirements are completed. Proficient with computers, email, document management, and tracking systems. Ability to work independently, take initiative, and meet deadlines. Familiarity with Pennsylvania home care compliance requirements is a plus. What We're Looking For We are looking for someone who takes ownership of the onboarding process and understands that every delay in onboarding can mean a delay in getting a caregiver started on a case. The right candidate will not simply request paperwork and wait for it to arrive. They will actively follow up, communicate with caregivers, resolve outstanding issues, and make sure each caregiver moves through the onboarding process as quickly as possible without compromising compliance.
Our goal is simple:
Get caregivers fully compliant, cleared, and ready to work as efficiently as possible. If you are organized, persistent, detail-oriented, and enjoy working in a fast-paced environment, we encourage you to apply.
