This position ensures the smooth operation of HR functions by maintaining employee records, assisting with the recruitment processes, and assisting with onboarding activities. The role requires close collaboration with HR managers and other staff to confidently facilitate communication and compliance with company policies and labor regulations. The HR Administrative Assistant also contributes to employee engagement initiatives and helps resolve routine inquiries, thereby enhancing overall workforce satisfaction. Ultimately, this position supports the organization's goal of maintaining an efficient, compliant, and employee-focused HR environment.
Minimum Qualifications:
High school diploma or equivalent required; office workflow. Proven experience in an administrative or assistant role. Strong knowledge of basic HR principles and labor regulations. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with HR information systems (HRIS). Excellent organizational skills with the ability to manage multiple tasks and maintain confidentiality.
Preferred Qualifications:
Experience working in the hospitality industry or a similar fast-paced environment. Familiarity with ADP or similar HR system. Strong interpersonal and communication skills to effectively interact with employees at all levels. Skilled note-taker and writer with grammatical proficiency. Confident communicator with ability to self-assess unique HR situations and ask questions.
Responsibilities:
Maintain and update employee records in HR databases and physical files with accuracy and confidentiality. Assist in the recruitment process by posting job openings, scheduling interviews, and communicating with candidates. Assist with onboarding activities including preparing new hire documentation and orientation sessions. Assist with employee inquiries regarding HR policies, benefits, and procedures in a timely and professional manner. Prepare HR reports and assist with compliance audits to ensure adherence to labor laws and company standards. Organize and maintain HR documents, such as performance evaluations, and disciplinary records. Collaborate with other departments to support HR initiatives and employee engagement programs. Attends meetings as invited and requested. Other duties as assigned.
