Job Description

POSITION SUMMARY
The Human Resources Coordinator supports FiberCom's daily HR operations, including onboarding, employee records, recruiting coordination, employee questions, workers' compensation administration, performance documentation and employee separations. This position serves as a primary point of contact for routine employee matters and works closely with Operations, Finance, Payroll, Recruiting and field leadership. The HR Coordinator follows established company procedures and escalates sensitive, high-risk or compliance-related matters to HR and executive leadership.
ESSENTIAL RESPONSIBILITIES HR
Administration and Employee Records Maintain accurate and confidential personnel files and HR records. Monitor missing, incomplete, or expired employee documentation. Prepare employment letters, forms, notices, and policy acknowledgments using approved templates. Maintain HR trackers and provide routine workforce reports. Onboarding and Offboarding Coordinate onboarding for field and administrative employees. Distribute and track completion of onboarding documents through DocuSign or other company systems. Coordinate Form I-9 for completion and escalate documentation concerns. Confirm approved job title, pay rate, supervisor, work location and start date. Coordinate employee separations, company property returned and required documentation. Recruiting Support Post approved job openings and assist with candidate communication. Schedule interviews and coordinate with recruiters and hiring managers. Maintain accurate candidate and hiring information. Assist with pre-employment requirements and hiring documentation. Escalate unclear or conflicting workforce requests before proceeding. Employee Relations and Performance Support Respond to routine employee questions and workplace concerns. Document employee complaints and workplace incidents objectively and confidentially. Assist with attendance, performance evaluations, and corrective action documentation. Immediately escalate concerns involving harassment, discrimination, retaliation, safety, wages, threats, or other serious allegations. Coordinate employee meetings and follow-up actions as directed by HR leadership. Workers' Compensation and Safety Support Receive and document workplace injury reports. Notify the appropriate HR, Operations, Finance, safety, and insurance contacts. Collect incident reports, witness statements, and related documentation. Track claims, medical restrictions, and return-to-work documentation. Maintain workers' compensation records separately and confidentially. Payroll and Benefits Coordination Provide approved new hire and employee change information to Payroll. Assist employees with routine payroll and benefits questions. Collect timekeeping corrections, tax forms, direct-deposit information and benefit documents. Confirm written authorization before submitting compensation or employment status changes. Policy and Compliance Support Distribute policies, required notices and employee acknowledgments. Support consistent application of HR processes across FiberCom locations. Assist with personnel file and onboarding document audits. Identify potential compliance concerns and escalate them to HR leadership. Protect confidential employee, payroll, and medical information.
DECISION-MAKING AUTHORITY
The HR Coordinator may administer approved HR processes, collect required documentation, provide general policy information, and coordinate employee-related activities. The HR Coordinator may not independently: Approve compensation, promotions, demotions, or bonuses. Make final hiring or termination decisions. Conduct formal investigations without HR direction. Interpret employment laws or approve policy exceptions. Make workers' compensation claim determinations. Communicate disciplinary or termination decisions without authorization.
QUALIFICATIONS
Two or more years of experience in HR, recruiting, payroll, employee services or office administration preferred. Knowledge of basic HR processes and employment documentation. Strong organizational, communication, and recordkeeping skills. Ability to manage confidential information professionally. Strong attention to detail and follow-through. Ability to recognize and escalate sensitive employee matters. Proficiency with Microsoft Office, Excel, Teams, and electronic document systems. Experience with DocuSign, HR systems or applicant tracking systems preferred. Bilingual English and Spanish skills strongly preferred.

Pay:
$60,000.00 - $70,000.00 per year
