Job Description

Do you enjoy staying organized, solving problems, and having a job where no two days look the same? Vineyard Park Senior Living is looking for a Front Desk & HR Administrative Coordinator to join our team in Covington, WA. This isn't your typical front desk position. You will be one of the first people our residents, families, employees, applicants, and visitors see when they walk through our doors. You will help create a welcoming community while also becoming an important part of the administrative and HR operations behind the scenes. We're looking for someone that enjoys working with seniors, who is warm, organized, curious, dependable, and motivated to take ownership of their work! What you will do - You will start by learning our front desk and administrative operations, including: Welcoming and assisting residents, families, visitors, employees, and applicants Managing phones, packages, faxes, supplies, documentation, and general office needs Maintaining an organized and professional front desk, office, and copy/work areas Building positive relationships with our residents Maintaining spreadsheets, trackers, calendars, electronic records, and recurring administrative responsibilities Assisting with employee documentation and HR administrative functions Communicating with applicants and new hires Preparing new-hire paperwork and onboarding materials Helping coordinate employee evaluations and compliance requirements Assisting with transportation scheduling and other community administrative needs Using Microsoft Office, Teams, SharePoint, spreadsheets, and other community systems Additional tasks as business needs requires As you learn about the position, you will have the opportunity to take on greater responsibility within HR. Our goal for this person eventually facilitates much of our routine employee onboarding process, including preparing for new hires, guiding employees through onboarding, tracking outstanding requirements, maintaining documentation, and helping create an organized and welcoming first experience for new employees. You will have support and oversight; however, we are looking for someone who wants to eventually own their responsibilities rather than wait for a daily task list. Who We are Looking For - You may be a great fit if you are someone who: Has an acceptable driving record and is willing to drive a Mobility Van for medical appointments. Takes initiative and follows through Notices when something needs attention Is comfortable asking questions when something doesn't make sense Wants to understand why a process works, not just memorize the steps Can work independently while recognizing when something needs to be escalated Is approachable, friendly, and professional Can balance interruptions with deadlines and administrative work Handles confidential information with discretion Enjoys creating organization out of a busy environment Wants to grow professionally and take on additional responsibility
Qualifications:
Must have a Valid Driver's License & be willing to drive a Mobility Van for medical appointments. Previous administrative, office, reception, HR, healthcare, senior living, hospitality, or related experience preferred Bilingual candidates are strongly encouraged to apply Strong written and verbal communication skills Comfortable using Microsoft Office and learning new computer systems Strong organizational and time management skills Ability to appropriately handle confidential employee and resident information Previous HR or onboarding experience is a plus, but not required Must have or be willing to obtain a current Food Worker/ Food Handler Card Must have or be willing to obtain CPR certification
Pay:
$20.00 - $26.00 per hour Expected hours: 37.5 per week
