Payroll Specialist/ HR Assistant - Job Description Washington Energy Services is currently hiring a Payroll Specialist/HR Assistant to join our team. Who are we? The Payroll Specialist is responsible for accurate and timely processing of a biweekly payroll and maintaining and documenting payroll records. The Payroll Specialist reports to the Human Resources Manager and will provide administrative support to the HR department and perform various administrative tasks for the general office. This position interacts with all levels of company personnel.
Primary Responsibilities:
Process biweekly payroll in payroll system for exempt and non-exempt team members Document procedures and keep updated as needed Review timecards for accuracy and communicate with managers for updates and corrections Process any quarterly or annual reports in payroll system and document procedures to ensure timely reporting to any taxing agencies and employees Process and document any adjustments or deductions to payroll (late timecards, pay adjustments, employee personal purchases, change of status forms) Track and process Paid Time Off (PTO) requests, verify balances Process new hires, terminations, and leaves of absence in payroll system Communicate with HR Manager regarding any payroll exceptions Maintain employee files including personnel files, payroll files, medical files Respond to employee inquiries regarding payroll issues/concerns in a timely manner Respond to properly authorized employment/income verification requests in a timely manner Maintain schedule of employee reviews and work with HR Manager to communicate with proper managers regarding status Track hours and maintain process for team member licensing - Electrical, Plumbing etc.
Other Responsibilities:
Maintain supply of payroll forms and packets (pre-employment, hiring, change of status forms) Familiarize yourself and keep current with taxation of salaries, benefits, other factors with assistance or as directed by HR Manager Complete any ad hoc reporting as requested by HR Manager and/or Senior Management (years of service reports, birthday or anniversary reports, employee census reports) Other duties as assigned by HR Manager and/or
Senior Management Knowledge, Skill Requirements, and Certification:
Minimum 2 years hands on work experience in payroll processing UKG Payroll System knowledge preferred Knowledge of wage and hour laws Proficiency in Microsoft Office including Word, Excel, outlook Ability to establish and maintain cooperative working relationships with co-workers and managers Ability to work independently without constant supervision and prioritize workload Ability to maintain confidentiality in all aspects of the position
Working Conditions:
This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, printers, filing cabinets, and fax machines. The position requires the ability to occasionally lift office products or supplies, up to 20 pounds.
