This full-time position is ideal for someone who enjoys coordinating details, keeping processes moving, and ensuring new hires have a great start on assignment. Join our staffing firm where you'll take the lead on post-offer onboarding and placement setup ; handling the administrative and compliance steps after a candidate accepts an offer so our Recruiters can stay focused on placing talent. You'll guide candidates through onboarding, ensure required screens and verifications are completed (drug test coordination, E-Verify, etc.), and provide consistent touchpoints once they're working , including first-day confirmations, first-day check-ins, and ongoing bi-weekly check-ins. Hours Monday - Thursday, 8:00am to 5:00pm Friday, 8:00am to 4:00pm Pay Salary at $45,000/year Key Responsibilities Post-Offer Onboarding & Placement Setup Take ownership of the process once a candidate accepts a job offer, ensuring a smooth transition into active assignment status Coordinate and track onboarding steps including (as applicable): Drug screen scheduling and completion tracking E-Verify completion and documentation Completion of new-hire paperwork and required forms Any client-specific onboarding requirements (PPE, policies, site rules, etc.) Ensure candidates are fully prepared with start-date details: reporting time, location, manager contact (when provided), dress code, safety requirements, and expectations Maintain accurate, complete documentation and status updates throughout the onboarding process Candidate Touchpoints While On Assignment Conduct pre-start confirmations to ensure the employee is prepared and ready to show up on day one Complete first-day check-ins to confirm arrival, address issues quickly, and support a strong start Perform consistent bi-weekly check-ins (or cadence required by branch/client) to support attendance, engagement, and retention Escalate concerns (attendance, performance, job fit, safety, employee relations) to the appropriate Recruiter/Account Manager promptly Administrative & ATS Management Update and maintain all onboarding and assignment-related information in the ATS system Ensure compliance-related documentation is complete, accurate, and stored appropriately Communicate clearly with internal teams (Recruiters, Client Success Specialists, Branch Managers) to keep onboarding and assignment workflows moving Support additional administrative tasks related to active placements as needed (start confirmations, documentation follow-up, client requirements, etc.) Minimum Requirements High School Diploma or equivalent experience (required) Valid Driver's License (required) Strong administrative coordination experience in a fast-paced environment (staffing, HR, onboarding, operations, or customer service) Ability to manage confidential information with professionalism and discretion Strong attention to detail and follow-through Excellent written and verbal communication skills Strong time management skills and the ability to prioritize multiple active onboarding workflows at once Outstanding customer service mindset; supportive, calm under pressure, and solution-focused Nice to Have Skills Experience in staffing, HR onboarding, or employee coordination Familiarity with E-Verify processes and employment eligibility documentation Previous experience using ATS systems or HRIS platforms Preferred Education and Experience Prior experience in staffing, HR, onboarding, operations, or high-volume customer service preferred Benefits Medical, Dental, and Vision insurance Life Insurance Paid Time Off after 30 days Weekly pay - salary wage Team focused on coaching and development Career advancement opportunities Paid Holidays Casual Fridays Apply now to join our team and help us create an exceptional start-and-stay experience for our employees!
