Job Description

Summary We are seeking an experienced HR Operations / HRIS Specialist to support accurate HR data management, HR systems administration, employee records, payroll coordination, benefits transactions, and day-to-day HR operations. This role will serve as a key resource for maintaining HRIS and time & attendance systems, ensuring data accuracy and compliance, supporting payroll and benefits processes, producing HR reports, and helping improve HR processes and technology. Key Responsibilities Maintain accurate HRIS records and process employee transactions, including new hires, transfers, pay changes, leaves, terminations, and status changes. Ensure HR data is accurate, timely, consistent, and audit-ready across integrated systems. Manage new-hire documentation and onboarding tasks, including I-9 completion, E-Verify when applicable, background and drug screening tracking, and personnel records. Serve as a primary administrator for HRIS and time & attendance systems, including user access, security roles, approval workflows, troubleshooting, and vendor support. Manage and monitor integrations between HRIS, timekeeping, and payroll systems. Coordinate system testing, data reconciliation, and issue resolution to maintain accurate information across platforms. Prepare and submit payroll inputs, including new hires, terminations, pay changes, differentials, and premiums. Conduct pre- and post-payroll audits, identify discrepancies, and coordinate corrections with the payroll provider. Process benefit enrollment and employee changes related to new hires, qualifying life events, and annual open enrollment. Coordinate with benefits partners, insurance carriers, and brokers on enrollments, changes, audits, and data feeds. Monitor compliance-related activities, including I-9s, E-Verify when applicable, required notices, and employee recordkeeping. Support leave tracking, including FMLA/LOA, and ensure related employee status changes are accurately reflected in HR and payroll systems. Create recurring and ad-hoc HR reports and dashboards covering headcount, turnover, vacancies, hiring activity, terminations, compliance, training, and other workforce metrics. Review HR data for accuracy, investigate discrepancies, and explain reporting variances. Maintain HR standard operating procedures, process documentation, user guides, and records retention practices. Identify opportunities to improve HR processes, increase efficiency, and automate manual tasks. Support internal and external audits by preparing documentation, responding to inquiries, and completing corrective actions. Monitor the HR operations inbox or ticketing system, respond to routine employee and manager questions, and escalate matters to the appropriate HR team member when necessary. Support HRIS upgrades, system patches, new functionality, and implementations through testing, documentation, and end-user training. Protect confidential employee information and ensure appropriate handling of PII and, when applicable, PHI. Collaborate with HR, Payroll, IT, Benefits, Talent Acquisition, and department leaders to provide efficient and responsive HR support. Perform other duties as assigned. Qualifications Associate's or Bachelor's degree preferred. 2-4 years of experience in
HRIS, HR
Operations, or a related HR function required. Hands-on experience administering or supporting HRIS and time & attendance systems. Strong Microsoft Excel and Microsoft Office skills. Previous experience with I-9 administration and payroll coordination required. Experience working with HRIS, ATS, timekeeping, payroll, and reporting/BI systems. Healthcare industry experience preferred. Experience with HR data reporting, audits, reconciliations, and employee records is highly preferred. Strong customer service mindset and ability to build positive working relationships. Ability to adapt to changing processes, systems, and organizational priorities. Compliance & Confidentiality The successful candidate should have familiarity with I-9 requirements, E-Verify when applicable, HR recordkeeping standards, and applicable privacy requirements. When handling benefits-related information, the role will also be expected to follow applicable HIPAA privacy and security requirements. Work Environment This position primarily involves standard office and computer-based work, including regular use of HRIS, payroll, time & attendance, reporting, and Microsoft Office systems.
Pay:
$60,000.00 - $70,000.00 per year
