Job Description

We are looking for a responsible Recruiting Coordinator / Administrative Assistant to perform a variety of administrative and clerical tasks to work Monday through Friday 8:30am - 5pm. Job Summary The Recruiting Coordinator / Administrative Assistant supports branch operations by performing clerical, administrative, and talent acquisition functions. A primary responsibility of this position is leading the recruiting and hiring process by sourcing, screening, and recommending qualified candidates for employment. This role serves as a key point of contact for applicants and employees, ensuring an efficient, professional, and compliant hiring process. This position is expected to support management in all departments and may be assigned additional duties as needed to support branch operations and business objectives. Essential Functions Coordinate recruiting activities to attract qualified candidates for open positions. Support branch staffing objectives by helping ensure positions are filled in a timely manner. Follow Assist in compliance of all Weiser Security Services, Inc. policies and procedures. Conduct applicant screening, including reviewing applications, interviewing candidates, and assessing qualifications. Answer and direct telephone calls professionally and promptly; accurately record and deliver messages. Maintain regular communication with applicants throughout the recruitment and hiring process. Recommend qualified candidates to management for consideration and placement. Schedule interviews and assist hiring managers with candidate coordination. Complete background investigations and pre-employment screening requirements. See applicants through onboarding process. File and maintain personnel, applicant, and administrative records accurately and confidentially. Process, maintain and update employee licensing information, contact information, and personnel data within WinTeam. Knowledge, Skills, and Abilities Proficient in Microsoft Office Suite, including Word, Excel, Outlook, and Teams. Strong organizational skills with a high level of attention to detail. Effective verbal and written communication skills. Ability to establish and maintain positive working relationships with applicants, employees, management, and Security Officers with high level of customer service. Ability to maintain confidentiality of applicant and employee information, especially Personally Identifiable Information (PII). Ability to meet deadlines in a fast-paced environment. Knowledge of state licensing requirements and procedures. Understanding of hiring, onboarding, and employment documentation processes. Minimum Requirements High School Diploma or GED required. One (1) year of administrative, recruiting, human resources, or related experience preferred. Must possess a clean criminal background. Must be proficient in the use of standard office equipment and computer software applications.
