Status:
Temporary contract position, full-time assignment ending March 31, 2027, with possibility of extension based on business needs.
Travel:
None required. Position Summary Our client is seeking an organized, tech-savvy Training Coordinator to run the day-to-day administration of our legal and compliance training programs. This is a temporary position supporting large-scale training rollouts — such as Code of Conduct training — reaching thousands of employees across our North American entities, as well as smaller rollouts targeted to specific groups. You will be the main point of contact for employees and managers on training logistics: scheduling sessions, tracking completion, and keeping accurate compliance records. The ideal candidate is highly detail-oriented and comfortable working with software tools such as Microsoft Teams, Excel, AirTable, and Jotform (or comparable database and form applications) to streamline training workflows.
Key Responsibilities Training Program Logistics:
Coordinate the scheduling, communications, and rollout of training modules (compliance, legal, and other corporate training), from company-wide programs to smaller sessions for targeted groups.
Training Formats:
Support training delivered in multiple formats: live sessions via Microsoft Teams, pre-recorded online modules, live classroom sessions, and off-site sessions.
Affiliate Support:
Provide support to HR and Compliance departments at all affiliates and subsidiaries in the rollout of training programs.
Forms & Workflow Management:
Create and distribute training acknowledgments, feedback surveys, and policy attestations using Jotform or comparable form tools.
Database Maintenance:
Maintain and update training databases (AirTable or comparable) to track employee training status, deadlines, and exceptions in real time.
Reporting & Analytics:
Use Excel functions (e.g., VLOOKUP/XLOOKUP, pivot tables) to generate weekly completion reports and flag employees who are overdue for follow-up.
Legal Recordkeeping:
File all training records, certificates, and compliance documentation so they are accurate, complete, and easy to retrieve for internal or external audits.
Policy Distribution:
Assist the Legal team in distributing compliance policies and training materials across the company.
Qualifications & Requirements Education:
Associate's or Bachelor's degree, or equivalent experience.
Experience:
1-5 years of verifiable prior experience in training or education within a corporate environment is strongly preferred.
Technology Proficiency:
◦ Excel (required): Strong capability with data manipulation, formatting, and reporting. ◦
Databases & Forms:
Experience with AirTable, Jotform, or comparable database, form, and survey tools — including building views, automations, and workflows. ◦
Microsoft Teams:
Comfortable using Teams for scheduling, communications, and follow-up. ◦
Training Systems:
Prior experience administering training programs or learning management systems (LMS) preferred. ◦
HR Data:
Experience working with employee roster or HRIS data (e.g., exports, reconciliation, keeping distribution lists current) preferred.
AI Tools:
Comfortable using company-approved AI tools to draft communications and summarize data, in line with Legal Affairs' guidelines on AI use.
Organizational Skills:
Strong time management. Able to manage multiple training rollouts and tight regulatory deadlines at the same time.
Communication Skills:
Clear written and verbal communication. Able to write simple, clear instructions and announcements for a large, diverse workforce, including non-native English speakers. Comfortable following up diplomatically with employees at all levels, including senior leaders. Experience in a multicultural or bilingual workplace is a plus; Japanese language ability is a plus but not required.
Process Documentation:
Ability to document workflows and procedures (step-by-step guides, desk procedures) so training processes can be maintained after the assignment ends.
Self-Direction:
Able to work independently with limited supervision after initial onboarding.
Confidentiality:
Strict adherence to protecting the privacy and security of all legal and employee data.
Pay:
$25.00 - $35.00 per hour
