Clinical Operations Manager and Dr. A Job Overview Sound Wellness Center is seeking a dynamic, motivated, and professional Licensed Esthetician / Office Assistant to join our skincare, aesthetics, wellness, and behavioral health team. This dual role provides an exciting opportunity to deliver personalized aesthetic services while supporting the daily operations of our outpatient mental health office. The ideal candidate is energetic, organized, detail oriented, customer focused, and able to create a welcoming experience for both aesthetics clients and mental health patients. The Sound Wellness Aesthetics suite uses Aesthetic Records EHR for aesthetic client records, treatment documentation, and service management. The mental health office uses Tebra for scheduling, patient communication, and clinical administrative documentation. Aesthetic Responsibilities Perform facials, skincare treatments, extractions, chemical peels, microdermabrasion, dermaplaning, LED light therapy, eye lashes, and brow treatments, and other services within the scope of licensure and training. Provide body and facial waxing using soft and hard wax. Provide vajacials, brow tinting, brow lamination, individual lashes, and other permitted beauty services. Perform or assist with advanced aesthetic and laser treatments when appropriately trained and authorized. Provide makeup application, skincare education, and product demonstrations. Recommend appropriate skincare products and participate in retail sales. Maintain accurate treatment records in Aesthetic Records. Maintain a clean, sanitary, organized, and safe treatment environment. Maintain product inventory and assist with promotional events and sales initiatives. Provide exceptional customer service and build lasting client relationships. Stay current with skincare trends, products, techniques, and continuing education. Office Assistant Responsibilities Greet patients and clients professionally and provide excellent customer service. Schedule, reschedule, and cancel appointments in Tebra. Schedule new patient, follow up, psychotherapy, medication management, and family therapy appointments. Send appointment confirmations and reminders through email, text, and Tebra. Monitor voicemail and return patient calls within 24 business hours. Respond professionally to patient inquiries by phone, email, and Tebra messaging. Assist with new patient intake and registration. Support same day scheduling and appointment flow. Assist patients with general questions regarding appointments, referrals, billing, and pharmacy communication. Follow up with patients regarding requested baseline laboratory testing through Quest Diagnostics and LabCorp. Assist with administrative medical forms using existing templates, including FMLA, short term disability, Home and Hospital, SSI, and
TDAP 500C
forms. Maintain accurate documentation in Tebra. Support daily office operations and collaborate with the Office Manager, Medical Director, clinical team, front desk, and administrative staff. Maintain confidentiality of all patient and client information. Social Media and Marketing Support Work closely with the Social Media and Marketing Coordinator to promote Sound Wellness Aesthetics for leads through: Facebook, Instagram, TikTok, LinkedIn, and all other appropriate channels. Responsibilities may include assisting with weekly content calendars, educational skincare content, wellness tips, provider spotlights, aesthetics promotions, community outreach, awareness campaigns, hiring posts, photography, and short form video content. QualificationsRequired Valid Maryland Esthetician License. Strong customer service and communication skills. Professional appearance and demeanor. Excellent organizational and time management skills. Ability to work independently and as part of a team. Ability to maintain confidentiality. Comfortable working in both an aesthetics and medical office environment. Basic computer proficiency and willingness to learn Tebra and Aesthetic Records. Preferred Experience in a med spa, dermatology office, aesthetics clinic, wellness center, or medical office. Experience with facials, chemical peels, microdermabrasion, dermaplaning, LED light therapy, microcurrent, waxing, lashes, brow services, or laser treatments. Experience with retail skincare sales and product promotion. Experience with front desk or medical office administration. Experience with Tebra or similar EHR systems. Experience with Aesthetic Records or similar aesthetics software. Phlebotomy training. Experience with social media, content creation, or marketing. Experience with threading or advanced massage techniques, including deep tissue massage.
