Part-Time Veterinary Receptionist / Assistant TrueHeal Veterinary Hospital |
Livonia, Michigan Part-Time:
Approximately 20-25 Hours per Week TrueHeal Veterinary Hospital is looking for an experienced, energetic, and highly organized Veterinary Receptionist / Assistant to join our growing team. This is not a position for someone who simply wants to answer phones and schedule appointments. Our receptionist is the heartbeat of the hospital, keeping a busy day moving, helping worried pet owners feel supported, communicating with the medical team, and stepping in wherever help is needed. Every day brings something different, and occasionally everything brings something different at the exact same time! The ideal candidate is confident, compassionate, quick on their feet, and genuinely enjoys working with both animals and people. You should have an easygoing, friendly personality while also being able to remain calm, professional, and focused in a fast-paced veterinary environment. Responsibilities Welcome clients and their pets with warmth, patience, and professionalism Answer incoming calls, respond to questions, and accurately document client communications Schedule and confirm wellness visits, sick appointments, surgeries, dental procedures, and follow-up care Assist clients with check-in and checkout Collect payments, prepare estimates, and review invoices with clients Maintain accurate patient records and update client information Communicate appointment details, hospital policies, medication instructions, and follow-up recommendations Coordinate communication between clients, veterinarians, technicians, and other team members Monitor the daily schedule and help keep appointments moving efficiently Handle multiple priorities while maintaining accuracy and excellent customer service Respond calmly and compassionately when clients are worried, emotional, or dealing with difficult situations Use veterinary scheduling and practice-management software, including Shepherd Help maintain a clean, welcoming, and well-organized reception area Assist with inventory management, product tracking, and supply ordering Occasionally support the clinical team in the back of the hospital as needed Help with general hospital organization and other duties that keep the practice running smoothly Qualifications Minimum of two years of experience as a receptionist in a veterinary hospital or veterinary practice Familiarity with veterinary terminology, appointment types, and common hospital workflows Experience using veterinary scheduling or practice-management software Experience with Shepherd is preferred, but experience with other veterinary software is welcome Strong telephone, communication, and customer-service skills Ability to learn new systems and procedures quickly Excellent attention to detail and organizational skills Comfortable managing a busy phone line, multiple appointments, client questions, and shifting priorities Dependable, punctual, and able to work effectively as part of a team Comfortable working around dogs and cats of different sizes, temperaments, and medical conditions Willingness to assist beyond the front desk when the hospital needs an extra pair of capable hands The Person We Are Looking For You are someone who can make a nervous pet owner feel calmer, catch a scheduling problem before it becomes a scheduling disaster, learn new technology without declaring war on the computer, and jump in to help your coworkers when the day gets busy. Pay:
