Job Description

Join a Growing Veterinary Healthcare Organization Catskill Veterinary Services is seeking an organized, motivated, and detail-oriented Administrative Assistant to join our growing team.

Life Changing to Life Saving Veterinary Care. We Do More. This position works behind the scenes to help our veterinary hospitals, leadership team, and employees operate efficiently. You will support a variety of administrative functions including scheduling, professional correspondence, human resources administration, project coordination, recordkeeping, and general business operations. This is an excellent opportunity for someone who enjoys being organized, solving problems, helping others, and working in a fast-paced professional environment. Veterinary experience is welcome but not required. What You'll Do Responsibilities may include: Provide administrative support to leadership and multiple departments Prepare and proofread professional emails, letters, reports, presentations, and other documents Coordinate calendars, meetings, appointments, and conference rooms Prepare meeting agendas, take minutes, and track follow-up items Monitor shared administrative email accounts and route requests appropriately Maintain organized electronic and paper files Handle confidential business and employee information appropriately Assist with new-hire paperwork, onboarding materials, personnel files, and training documentation Track certifications, continuing education documentation, and policy acknowledgements Order employee uniforms, identification badges, and administrative supplies Assist with vendor communication and purchasing requests Maintain spreadsheets, reports, databases, and other business records Assist leadership with presentations, projects, and organizational initiatives Track project deadlines and outstanding assignments Assist with travel arrangements, registrations, expense documentation, and meeting preparation as needed Support accreditation, compliance, and other organizational documentation Help identify administrative problems and figure out solutions What We're Looking For The ideal candidate is someone who is: Highly organized and detail-oriented Professional in both written and verbal communication Comfortable managing multiple priorities and deadlines Dependable and accountable Comfortable working independently while also supporting a team Able to handle confidential information with discretion Resourceful and solutions-oriented Comfortable learning new technology and systems Willing to take initiative rather than waiting to be told every next step Minimum Qualifications High school diploma or GED At least one year of administrative or office experience Strong written and verbal communication skills Strong organizational and time-management skills Computer proficiency Ability to manage multiple projects and competing priorities Ability to work independently and follow assignments through to completion Associate degree preferred but not required. Technology Candidates should be comfortable using common business technology. Experience with the following is helpful: Google Workspace Google Drive and Google Calendar Microsoft Office Microsoft Excel Electronic document management systems QuickBooks Experience with Canva, ezyVet, veterinary software, or similar business systems is a plus. Preferred Experience While not required, we would especially like to hear from candidates with experience in: Veterinary or healthcare administration Human resources administration Executive or leadership support Project coordination Multi-location businesses Scheduling and calendar management Google Workspace Professional document and presentation preparation More Than a Traditional Office Job Catskill Veterinary Services is a growing veterinary healthcare organization. Although this position does not routinely provide direct patient care, your work directly supports the veterinarians, licensed veterinary technicians, client service teams, and hospital leadership responsible for caring for our patients and clients. Physical Requirements This position may require: Sitting and working at a computer for extended periods Frequent use of a keyboard and other office equipment Walking between departments Occasional bending, reaching, and carrying office supplies Lifting up to approximately 25 pounds Reasonable accommodations may be made for qualified individuals with disabilities. Compensation $22.00-$26.00 per hour , based on experience, qualifications, and demonstrated administrative capabilities.
Schedule:
Monday-Friday, approximately 8:00 a.m.-4:00 p.m. Full-time and part-time candidates may be considered. This is an in-person position and not eligible for remote work.
