GENERAL SUMMARY
The Document Control Specialist is responsible for organizing, maintaining, and distributing quality-related documentation to ensure accuracy, consistency, and compliance with company and client requirements. This position provides administrative support to the QA/QC Department by managing controlled documents, maintaining records, tracking revisions, and assisting with project documentation throughout the project lifecycle.
PRIMARY RESPONSIBILITIES
Maintain and organize QA/QC documentation in both electronic and hard copy formats. Create, update, distribute, and archivecontrolled documents in accordance with company procedures. Track document revisions and ensure only current approved versions are in circulation. Assist with preparation and maintenance of quality manuals, procedures, inspection reports, turnover packages, and project documentation. Monitor document workflows and follow up with internal departments to obtain required documentation. Maintain document logs, transmittals, and revision histories. Ensure documentation complies with customer, project, and company requirements. Assist with compiling final project turnover and closeout documentation. Scan, index, and file quality records for longterm retention. Coordinate with Operations, Engineering, Project Management, Safety, and Purchasing to collect required documentation. Support internal and external audits by providing requested documentation. Maintain confidentiality of company and customer information. Perform other administrative duties as assigned in support of the QA/QC Department.
KNOWLEDGE, SKILLS & ABILITIES
Strong organizational and records management skills. Exceptional attention to detail and accuracy. Ability to prioritize multiple assignments and meet deadlines in a fastpaced environment. Excellent written, verbal, and interpersonal communication skills. Ability to work independently with minimal supervision while collaborating effectively with crossfunctional teams. Ability to maintain confidentiality and exercise sound judgment when handling sensitive information. Strong problemsolving skills and the ability to adapt to changing priorities.
EDUCATION, LICENSES AND EXPERIENCE
High school diploma or GED required; Associate degree preferred. Minimum two (2) years of administrative, document control, or related experience preferred. Experience supporting construction, industrial, engineering, manufacturing, or EPC environments preferred. Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook. Experience with electronic document management systems (EDMS), Bluebeam, or ERP software preferred. Basic understanding of quality management systems and document control principles preferred.
WORKING CONDITIONS AND PHYSICAL EFFORT
