Job Description

We are looking for a Legal Assistant to support a busy law firm through accurate administrative and case-related coordination. This contract position with potential for a long-term opportunity is ideal for someone who is detail-focused, dependable, and comfortable handling legal documentation, records, and communication with outside parties. The role offers an opportunity to contribute to client service and case preparation while working closely with paralegals and attorneys in a legal environment.
Responsibilities:
  • Open new matters and ensure file setup is completed accurately and promptly.
  • Prepare, scan, and organize legal forms, authorizations, and supporting documentation for case files.
  • Obtain medical records, insurance documents, reports, and other case-related materials from external sources.
  • Communicate with insurance carriers to report claims, request policy details, and follow up on outstanding information.
  • Draft correspondence for attorneys and legal staff, and distribute documents in a timely manner.
  • Maintain orderly physical and electronic client files, including scanning incoming mail into the case management system and routing materials to the appropriate team members.
  • Track records, bills, and invoices, including posting charges and organizing documentation needed for case development.
  • Assemble supporting materials for demand packages, copy and scan relevant documents, and provide administrative assistance to paralegals as needed.
  • Coordinate incoming and outgoing mail, file documents for pre-litigation matters, and attend occasional client meetings when support is needed.
  • Provide Spanish-language assistance during client or adjuster conversations when applicable and assist with additional office duties as assigned.
