Position Overview We are seeking a professional, friendly, and dependable Legal Receptionist / Front Desk Coordinator to serve as the first point of contact for our clients, prospective clients, families, and visitors. The ideal candidate will have excellent telephone and interpersonal skills, a professional demeanor, strong attention to detail, and the ability to work comfortably with seniors and their families. This position also provides general administrative support to the attorneys and office staff. Responsibilities Answer and manage the firm's telephone system using a professional and pleasant greeting. Screen and direct calls to the appropriate attorney or staff member. Greet clients, prospective clients, and visitors in a friendly and professional manner. Schedule, confirm, and follow up on appointments and assist with maintaining the attorneys' and paralegals' calendars. Take accurate messages and ensure that calls and inquiries are directed appropriately. Provide general administrative support to attorneys, paralegals, and office staff. Prepare, organize, scan, copy, collate, file, and fax legal and office documents. Receive, sort, handle, and distribute confidential mail and packages. Assist with maintaining an organized and professional reception area and office environment. Provide timely reminders regarding appointments, follow-ups, and other office deadlines. Maintain confidentiality and exercise appropriate discretion when handling client information and legal documents. Use Microsoft Word, Excel, and Outlook for routine office tasks. Experience with Time Matters is a plus. Perform other general administrative and clerical duties as needed. Qualifications High School Diploma or equivalent. At least 3 years of experience in a receptionist, customer service, administrative, or similar client-facing position. Law office experience is a plus, but not required. Experience working with seniors and their families is highly desirable. Excellent telephone etiquette and strong verbal and written communication skills. Professional, courteous, and welcoming demeanor. Strong attention to detail and organizational skills. Ability to multitask, prioritize responsibilities, and meet deadlines in a busy office environment. Ability to maintain confidentiality and handle sensitive information with discretion. Comfortable working with Microsoft Word, Excel, and Outlook. Familiarity with legal documents and terminology is a plus. Notary Public credential is preferred. Ability to work effectively as part of a team with attorneys, paralegals, and other office staff. Reliable and consistent attendance is essential.
